Job Summary:

We are seeking a highly organized and proactive Executive Assistant (EA) to support senior-level executives. The ideal candidate will be detail-oriented, possess excellent communication skills, and have the ability to manage multiple priorities in a fast-paced environment. This role requires discretion, professionalism, and the ability to work independently.

Key Responsibilities:

  • Provide high-level administrative support to Director, including managing calendars, scheduling meetings, and coordinating travel arrangements.
  • Prepare and edit correspondence, reports, and presentations.
  • Handle confidential and sensitive information with the utmost discretion.
  • Act as a point of contact between executives, employees, clients, and external partners.
  • Manage and prioritize incoming communications, including emails, phone calls, and meeting requests.
  • Organize and coordinate events, meetings, and conferences, ensuring all logistical details are handled efficiently.
  • Maintain and organize files, records, and documents for easy access and retrieval.
  • Assist with project management tasks, tracking progress and ensuring deadlines are met.
  • Prepare meeting agendas, take minutes, and follow up on action items.
  • Support executives in personal tasks, as needed, to help balance their workload.
  • Collaborate with other administrative staff to ensure a cohesive support network.

Requirements:

  • Proven experience as an Executive Assistant or similar role
  • Excellent written and verbal communication skills.
  • Strong organizational and multitasking abilities.
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Ability to work independently, exercise good judgment, and maintain confidentiality.
  • High level of attention to detail and accuracy.
  • Ability to adapt quickly in a dynamic work environment.
  • Strong time management skills and the ability to prioritize effectively.
  • Professional demeanor and the ability to build strong working relationships.
