Role Overview

Executive Assistant to the CEO

Key Roles & Responsibilities

1. Calendar & Time Management

  • Manage and optimize the CEO’s daily schedule to ensure productivity and priority alignment.
  • Schedule meetings, calls, and appointments while minimizing conflicts.
  • Set reminders and ensure timely follow-ups on key tasks and commitments.
  • Coordinate travel plans, accommodations, and logistics when required.

2. Delegation & Follow-ups

  • Track key deliverables assigned by the CEO to department heads and teams.
  • Ensure timely execution and closure of tasks through regular follow-ups.
  • Act as a bridge between the CEO and internal teams for instructions and updates.
  • Maintain a structured task management and reporting system.

3. Communication & Coordination

  • Serve as the first point of contact for internal and external stakeholders.
  • Draft and manage emails, reports, presentations, and meeting summaries on behalf of the CEO.
  • Ensure clear, professional, and timely communication across leadership and teams.
  • Handle confidential and sensitive information with complete discretion.

4. Operational Oversight

  • Monitor ongoing company operations and flag critical issues requiring CEO attention.
  • Identify inefficiencies and suggest process and workflow improvements.
  • Maintain awareness of company culture, employee morale, and workplace dynamics.

5. Strategic Support & Decision Assistance

  • Prepare reports, dashboards, and data-backed insights for decision-making.
  • Attend meetings, record minutes, and ensure execution of action points.
  • Conduct research on industry trends, competitors, and potential business opportunities.

6. Acting as the CEO’s Eyes & Ears

  • Gather and relay important information from employees, clients, and stakeholders.
  • Identify organizational bottlenecks, risks, or performance concerns and escalate proactively.
  • Provide insights on employee performance, operational risks, and improvement areas.
