Job Description

highly organized and proactive Personal Assistant (PA) / Executive Assistant (EA)

The role involves managing complex schedules, handling high-level communication, coordinating meetings, preparing reports, and ensuring seamless workflow across departments.

Roles & Responsibilities

A. Calendar, Schedule & Meeting Management

  • Manage executive calendars, appointments, reminders, and daily schedules
  • Coordinate internal & external meetings with leadership and stakeholders
  • Prepare meeting agendas, presentations, and reports
  • Draft and circulate

    Minutes of Meeting (MOM)

    and follow up on action items

B. Communication & Coordination

  • Act as the

    first point of contact

    between the executive and internal/external stakeholders
  • Screen calls, emails, and correspondence
  • Maintain professionalism and confidentiality at all times
  • Liaise across departments to ensure smooth information flow

C. Travel & Logistics

  • Arrange domestic & international travel
  • Book flights, hotels, and transport
  • Prepare detailed travel itineraries and documentation

D. Administrative & Document Support

  • Prepare MIS data, reports, letters, presentations, and corporate documents
  • Maintain filing systemsdigital and physical
  • Handle confidential documents with discretion

E. Stakeholder & Project Assistance

  • Assist in project coordination and tracking timelines
  • Conduct research and prepare briefing notes
  • Manage follow-ups and ensure task completion
  • Support senior management in cross-functional activities

F. Personal Assistance

  • Manage personal tasks such as reminders, appointments, or errands (if required)

Essential Skills & Qualities

  • Strong communication skills

    (verbal & written)
  • Excellent organizational & multitasking ability

  • High confidentiality and professionalism

  • Critical thinking & problem-solving

  • Strong interpersonal & stakeholder management

  • Expertise in MS Office (Excel, PowerPoint, Word)

  • Ability to work independently under minimal supervision

  • Time management & deadline-focused approach


Preferred Candidate Details

  • Experience:

    7 to 12 years as PA/EA/PS to Senior Management
  • Industry:

    Preferably Renewable / Infrastructure / Energy / Manufacturing / Corporate HQ
  • Education:

    Graduate or Post Graduate preferred (Business Administration/Commerce advantageous)
  • Skills:

    Calendar Management, MOM drafting, Stakeholder Handling, Communication, MS Office, Travel Coordination
  • Other Requirements:

    • Excellent professional communication
    • High confidentiality & trust
    • Ability to manage pressure and multitask
    • Strong organizational & time-management skills
