What will you do?

To provide high-level administrative and technical support to leadership, ensuring smooth operations and enabling executives to focus on strategic priorities


Key Responsibilities:

Administrative Support

  • Manage calendars, schedule meetings, and coordinate logistics for HR executives.
  • Prepare confidential correspondence, reports, presentations, and meeting materials.
  • Handle incoming calls, emails, and inquiries, ensuring timely and professional responses.
  • Maintain filing systems (electronic and paper), ensuring confidentiality and compliance.

Travel & Communication

  • Make domestic and international travel arrangements for HR leaders and teams.
  • Draft, review, and send communications on behalf of HR executives.
  • Organize and prepare agendas and logistics for meetings and events.

Project & Stakeholder Coordination

  • Liaise with internal departments and external stakeholders.
  • Track budgets, vendor contracts, and support procurement processes.
  • Support cross-functional initiatives and ensure deadlines are met.


Qualifications:

Education:

  • Bachelor’s degree preferred (Business, HR, Communications, or related field).
  • High school diploma or equivalent required.

Experience:

  • 8 Year + years of experience as an Executive Assistant.
  • Experience supporting C-level executives is highly desirable.

Skills:

  • Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
  • Strong organizational and time-management skills.
  • Excellent written and verbal communication.
  • Ability to handle confidential information with discretion.
  • Familiarity with HRIS systems (e.g., PeopleSoft, Oracle) and tools like Concur.
