Job Description

We're looking for a smart, proactive, and highly organized Executive Assistant to work closely with our leadership team at LUXC MEDIA.

This role is primarily about managing day-to-day operations, schedules, communications, and cross-team coordination, while also handling HR responsibilities like recruitment, onboarding, and employee engagement.

Key Responsibilities :

Executive & Team Assistance (Primary Focus)

Manage calendars, schedules, and appointments for leadership and senior management.

Coordinate meetings prepare agendas, take minutes, and ensure smooth follow-ups.

Act as the main point of communication between leadership, internal teams, and clients.

Prepare presentations, reports, and documents for management and client-facing needs.

Support the digital, creative, and PR teams with campaign coordination and task tracking.

Handle travel bookings, vendor management, and expense coordination.

Proactively identify operational bottlenecks and ensure smooth day-to-day workflows.

HR Coordination (Secondary Focus):

Oversee end-to-end recruitment for PR, creative, digital, and client servicing roles.

Manage employee onboarding, contracts, and lifecycle documentation.

Coordinate employee engagement programs, team-building events, and recognition initiatives.

Maintain attendance, leave, and payroll-related records while supporting compliance needs.

Assist in drafting and implementing HR policies tailored for a creative agency environment.

Qualifications & Skills:

Bachelors/Master’s degree in Business Administration, HR, or related fields.

2–4 years of experience as an Executive Assistant, Team Coordinator, or HR Executive.

Excellent organizational and multitasking skills.

Strong written and verbal communication abilities.

Ability to thrive in a dynamic, fast-paced agency culture.

Basic understanding of HR processes, recruitment, and compliance.

Proficiency in MS Office, Google Workspace, and HR tools is a plus.
