Reporting To: Director – Sales
Role Overview The Executive Assistant to the Director provides high-level administrative, operational, and coordination support to ensure effective execution of sales strategies and smooth functioning of the Sales leadership office. The role requires exceptional organizational skills, communication excellence, confidentiality, and the ability to work in a fast-paced, target-driven environment.
Key Responsibilities • Manage and prioritize the Director’s calendar, meetings, appointments, and travel itineraries. • Coordinate internal/external communications and act as a reliable point of contact. • Prepare presentations, business reports, dashboards, and meeting documentation. • Handle confidential documents and sensitive information with discretion. • Organize and maintain files, records, and correspondence. • Prepare proposals, quotations, tender documents, and customer-related paperwork. • Follow up on key action points from sales reviews, customer meetings, and internal discussions. • Liaise with customers, OEMs, and key accounts to schedule meetings and ensure smooth communication. • Support in organizing customer visits, events, exhibitions. • Draft professional emails, proposals, and communication on behalf of the Director. • Maintain sales databases, and documentation relevant to business development. • Conduct basic data analysis and compile market/competitor information as required. • Process expense claims, travel reimbursements, and purchase requisitions for Director. • Support in organizing team meetings.
Required Qualifications & Skills Education • Bachelor’s degree in Business Administration, Commerce, Engineering, or related field. • MBA. Experience • 1–3 years of experience as an Executive Assistant, preferably supporting senior leaders in Sales, Business Development, or Corporate roles. • Experience in a fast-paced, target-driven environment preferred. Skills • Excellent communication (written & verbal). • Strong proficiency in MS Office (Excel, PowerPoint, Word) and AI tools etc. • Outstanding planning, organizational, and multitasking abilities. • High degree of professionalism and confidentiality.
