Job Description

Job Summary:

The Executive Assistant will provide high-level administrative support to senior leadership, ensuring smooth operations and effective management of daily tasks. This role requires exceptional organisational skills, professionalism, confidentiality, and the ability to handle a wide range of responsibilities with minimal supervision.


Experience Required:

1.5- 2 years


Key Responsibilities:

Administrative & Executive Support

  • Manage and prioritize the executive’s calendar, appointments, meetings, and travel schedules.
  • Coordinate and prepare materials for meetings, presentations, and reports.
  • Handle incoming and outgoing communication, including emails, calls, and correspondence on behalf of the executive.
  • Maintain an organized filing system and ensure timely retrieval of information.
  • Draft, review, and edit documents, emails, and communications.

Operational Support

  • Assist in planning and coordinating internal and external meetings, events, and conferences.
  • Prepare agendas, take minutes, and follow up on action items.
  • Support the executive with task tracking, project updates, and daily operational requirements.

Stakeholder Management

  • Serve as the primary point of contact between the executive and internal teams, clients, and external partners.
  • Handle sensitive and confidential information with discretion and integrity.
  • Build and maintain positive relationships with key stakeholders.

Travel & Logistics

  • Manage travel arrangements, itineraries, and accommodations.
  • Prepare travel documents, expense reports, and reimbursement submissions.
  • Ensure smooth coordination of logistics during business travel.

Project Coordination

  • Assist in strategic initiatives, research assignments, and project follow-ups.
  • Collect and analyze information to prepare reports and presentations.
  • Track progress of deliverables and ensure deadlines are met.

Required Skills & Qualifications:

  • Bachelor’s degree in Business Administration, Communications, or a related field.
  • Proven experience as an Executive Assistant or in a similar role.
  • Excellent communication skills, both written and verbal.
  • Strong organizational and time-management skills with the ability to multitask.
  • High level of discretion and professionalism.
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint) and Google Workspace.
  • Strong problem-solving ability and attention to detail.
  • Ability to work independently and handle pressure in a fast-paced environment.

Preferred Qualifications:

  • Experience supporting C-level executives.
  • Familiarity with project management tools (Asana, Trello, Notion, etc.).
  • Ability to handle global time zones and manage complex schedules.

Work Environment:

  • Full-time, office-based or hybrid (as applicable).
  • Occasional travel or extended hours may be required based on business needs.
