As an Office Manager at CNS, your role is vital in ensuring the smooth and efficient operation of the office or business. Your responsibilities will include: - **Administrative Support:** - Providing administrative support to the leadership team and staff. - Managing and organizing office files, documents, and records. - Handling correspondence, emails, and phone calls. - **Office Operations:** - Overseeing day-to-day office operations and procedures. - Maintaining office efficiency by planning and implementing office systems, layouts, and equipment procurement. - Ensuring a clean, organized, and conducive work environment. - **Supervision and Team Management:** - Supervising and leading administrative and support staff. - Conducting staff training and ensuring team members are aware of and follow office policies and procedures. - Scheduling and coordinating staff assignments. - **Budget and Expenses:** - Managing office budgets and expenses. - Monitoring and controlling costs related to office supplies, equipment, and services. - **Facilities Management:** - Coordinating maintenance and repair of office facilities and equipment. - Liaising with building management or landlords for facility-related matters. - **Vendor Management:** - Sourcing and managing relationships with vendors and suppliers for office supplies, services, and equipment. - Negotiating contracts and ensuring cost-effectiveness. - **Event Planning:** - Planning and coordinating office events, meetings, and conferences. - Arranging logistics, catering, and accommodations as needed. - **Human Resources Support:** - Assisting with HR functions, such as recruitment, onboarding, and employee relations. - Maintaining employee records and ensuring compliance with HR policies. - **Communication:** - Facilitating communication within the office and between departments. - Serving as a point of contact for internal and external stakeholders. - **Health and Safety Compliance:** - Ensuring the office complies with health and safety regulations. - Implementing safety protocols and emergency procedures. - **Technology Management:** - Overseeing office technology needs, including computers, software, and communication systems. - Troubleshooting and addressing IT-related issues or coordinating with the IT department. - **Record Keeping:** - Maintaining accurate and up-to-date records related to office activities, expenses, and personnel. - **Problem Solving:** - Addressing and resolving any issues or challenges that arise in the day-to-day operation of the office. **Qualifications:** - Bachelor's degree in Business Administration, Management, or any related fields.
