JOB SPECIFICATION (JS)

Position: Coordinator – Ecolab & Signode

Department: Sales & Service Support

Reports to: Concerned Department Head / Director

Location: Univend Associates Pvt. Ltd.

1. Education

Graduate in any discipline (preferably BCA , MCA).

Additional certification in data analysis, MS Excel, or MIS is an advantage.

2. Experience

1–3 years of experience in coordination or administrative roles.

Exposure to industrial sales/service coordination preferred.

Experience in data preparation, reports, Power BI / Power Pivot is an added advantage.

3. Skills & Competencies (KASHSC aligned)

Knowledge

Basic knowledge of sales & service coordination processes.

Knowledge of Ecolab & Signode product flow (can be trained).

Good understanding of office administration.

Attitude

Positive, disciplined, and process-oriented.

Customer-focused mindset.

Skills

Strong communication (written & verbal).

Excellent MS Office skills (Excel, PowerPoint).

Data analysis & reporting skills.

Time management and organizational skills.

JOB DESCRIPTION (JD)

Role Purpose:

To efficiently coordinate all activities related to Ecolab & Signode departments, manage administrative responsibilities, and support data analytics, ensuring smooth operations and alignment with Univend’s systems and culture.

A. Responsibilities for Ecolab & Signode Coordination

1. Sales & Service Coordination

Support sales engineers and service engineers with daily coordination requirements.

Track enquiries, quotes, follow-ups, order status, and service schedules.

Documentation of AMC, breakdown service calls, installation records, and customer updates.

Maintain customer data and update CRM/Excel sheets.

Ensure timely communication with customers when required.

2. Process & Documentation

Prepare sales and service MIS reports for management review.

Maintain files, records, customer history, and documentation as per Univend standards.

Support in preparing presentations, departmental reports, and tracking target achievements.

3. Communication

Coordinate with principals (Ecolab/Signode) when required.

Internal communication with Team Leaders, engineers, HR, accounts, and back office.

B. Administrative Support Responsibilities

1. Office Maintenance & Cleanliness

Ensure daily cleanliness of office premises.

Coordinate with housekeeping staff and ensure checklist compliance.

Monitor maintenance issues and arrange timely repair/service.

2. Guest Management

Welcome and manage guests/visitors.

Arrange meeting space, refreshments, and ensure hospitality standards.

Maintain visitor log.

3. General Admin Tasks

Manage stationery, office supplies, and inventory tracking.

Coordinate courier, printing, office documentation, and event arrangements.

Support HR and management in day-to-day admin tasks.

C. Data Analyst Responsibilities

Prepare daily/weekly/monthly MIS reports for Ecolab and Signode.

Maintain performance dashboards (sales, service, customer data).

Analyze trends and highlight variances or areas needing action.

Improve reporting accuracy and automation using Excel/Power Pivot/Power BI (if applicable).

D. Cultural & Process Responsibilities

Follow Univend’s systems, documentation, and reporting culture.

E. Key Performance Indicators (KPIs)

Accuracy and timeliness of reports.

Coordination efficiency with Ecolab & Signode teams.

Quality of customer communication and documentation.

Cleanliness & admin checklist compliance.

Response time for support tasks.

Data accuracy and improvements in reporting

Job Types: Full-time, Permanent

Pay: ₹20,000.00 - ₹25,000.00 per month
