Role Summary

The Executive - Coldroom is responsible for overseeing the cold room operations, including receiving stock, maintaining storage conditions, and dispatching products to distributors. The role ensures adherence to cold chain protocols, proper handling of stock, and accurate billing for dispatched goods. This position is critical in preserving product quality and facilitating efficient distribution to meet the demands of distributors.

Job Responsibilities

  • Product Receiving & Storage Management:

  • Receive products from the CFA facility, verify quantities and check for any damage upon arrival.
  • Store products in the cold room, ensuring they are organized for easy access and stored under the required temperature conditions.
  • Conduct regular checks to maintain appropriate cold room temperatures and prevent any spoilage.
  • Dispatch to Distributors:

  • Prepare orders for dispatch to distributors, verifying quantities match order requirements.
  • Coordinate with transport team and distributors to ensure timely and accurate dispatches.
  • Load and prepare outgoing vehicles, ensuring cold chain integrity is maintained during the transfer.
  • Billing & Documentation:

  • Generate and verify invoices for dispatched orders, ensuring accuracy before dispatch.
  • Maintain organized records of received and dispatched stock, including temperature logs and delivery receipts.
  • Address any billing or stock discrepancies with the finance team as required.
  • Cold Room Maintenance:

  • Ensure the cold room is clean and meets hygiene and safety standards.
  • Monitor and report any issues with temperature fluctuations or equipment malfunctions to minimize risks to product quality.
  • Inform in timely manner of any issue that may arise to the maintenance team.
  • Inventory & Stock Management:

  • Conduct routine inventory checks & cycle count to ensure stock levels match documentation, reporting any mismatch immediately.
  • Work with the planning team to manage stock levels effectively, preventing overstocking or stockouts. Keep enough stock & POP material.
  • Coordinate slow moving and near to expiry item to the Marketing and Planning team.
  • Coordinate with the planning team in case any stock goes below minimum level.
  • Damage Claims & Distributor Grievance Handling:

  • Address and document damage claims from distributors, communicate the same to Marketing team.
  • Handle distributor grievances related to product quality, delivery, and cold room operations, ensuring prompt and satisfactory resolution.
  • Sales Team Coordination:

  • Collaborate with the sales team to align product dispatch schedules with distributor needs and market demand, ensuring efficient stock movement from the cold room to meet sales targets.
  • Provide regular updates to the sales team on stock availability, damage claims, and distributor feedback to support informed decision-making.
  • MIS Making:

  • Assist in the collection, and tracking of data to prepare reports & support decision-making for senior management, ensuring all data is up-to-date and aligned with departmental goals.

Job Requirements

Educational Qualification and Experience

  • Graduate in Commerce or Science
  • 4-6 years of experience in logistics.
