Position Overview

administration operations, international and domestic travel management, security governance, facilities and infrastructure management, store administration operations, and vendor/compliance management


Key Responsibilities

Administration & Facility Management

  • Lead end-to-end administration operations across HO, regional offices, stores, and production facilities.
  • Oversee infrastructure management, preventive maintenance, AMC contracts, utilities, workplace safety, and statutory compliance.
  • Implement administration SOPs to ensure efficiency, service quality, and cost controls.

International & Domestic Travel Management

  • Oversee corporate travel management including visa processing, passport renewals, forex coordination, travel policies, and travel partner relationships.
  • Develop and manage global travel protocols for employees, senior leadership, and VIP travel movements.
  • Ensure cost optimization, travel risk management, and compliance with global travel standards.

Employee Transportation Management

  • Design and lead employee transportation programs.
  • Ensure safe, reliable, and cost-effective transport operations.
  • Partner with transport vendors and fleet providers; maintain statutory compliance and safety standards.

Event Management

  • Lead end-to-end planning and logistics for corporate events, store openings, exhibitions, and brand engagements.
  • Manage vendor sourcing, budgeting, venue coordination, hospitality management, and on-ground execution.
  • Ensure event governance and seamless execution in line with brand standards.

Canteen Operations & Management

  • Oversee cafeteria and canteen services across office and factory locations.
  • Drive quality, hygiene, and FSSAI compliance for food safety.
  • Manage catering partners, meal planning, cost budgets, and employee satisfaction.
  • Introduce continuous improvements in meal experience and service delivery.

Security Management

  • Lead physical security strategy across all production, corporate and retail locations.
  • Ensure implementation of security protocols, CCTV surveillance, access control systems, and incident response.
  • Liaise with security agencies, law enforcement, and intelligence partners as needed.
  • Drive employee safety frameworks, including emergency preparedness and crisis management.

Store Administration Operations

  • Oversee administration support for all retail stores (existing and new launches).
  • Ensure timely store readiness, facilities upkeep, AMC, utility management and vendor coordination.
  • Define store admin KPIs and governance systems to drive efficiency and adherence to brand standards.
  • Support expansion projects including admin due diligence for new store locations.

Vendor & Contract Management

  • Manage vendor ecosystems for facility management, travel partners, logistics, security, housekeeping, and administrative services.
  • Negotiate and monitor high-value contracts/SLAs for service quality and cost optimization.
  • Ensure commercial governance, vendor performance reviews, and strict adherence to SLAs.

Budgeting & Cost Optimization

  • Own the administration budget and drive financial discipline in travel, facility, and vendor spend.
  • Identify automation and process improvements to reduce operational overheads.

People & Stakeholder Management

  • Lead an administration team spanning HO, retail, and manufacturing clusters.
  • Collaborate with HR, Finance, Projects, and Operations teams for seamless cross-functional execution.
  • Drive service excellence through admin dashboards, performance metrics, and escalation management.


Key Requirements

Education:

  • Bachelor’s Degree in Business Administration / Operations / Facility Management / Engineering.
  • MBA or certification in Administration, Facility Management, or Security Management preferred.

Experience:

  • Experience in Corporate Administration, Facility Management, Security Governance, and Travel Operations.
  • Experience managing

    multi-location operations

    across corporate + factory + retail setups.
  • Prior experience in

    Retail / FMCD / Manufacturing
