1. Clinic Operations Management
- Assist in day-to-day operations of the clinic to ensure smooth functioning.
- Ensure clinic cleanliness, hygiene, and adherence to SOPs.
- Manage appointment schedules and ensure timely service delivery.
- Oversee inventory of medicines, grooming products, food, and consumables.
2. Customer Experience & Service
- Greet pet parents and ensure they receive excellent service from entry to exit.
- Handle customer queries, feedback, and complaints with empathy and professionalism.
- Ensure a welcoming environment for pets and their owners.
- Guide customers on services, wellness packages, grooming, and pet food.
3. Team Supervision
- Support the Clinic Manager in supervising veterinarians, groomers, front desk staff, and technicians.
- Ensure shift schedules are followed, and staffing levels are maintained.
- Facilitate team coordination for grooming, consultations, and diagnostics.
- Train new staff on SOPs, software tools, and customer etiquette.
4. Sales & Growth Support
- Promote pet wellness plans, food attach, grooming packages, and diagnostics.
- Help achieve daily/weekly/monthly sales and service targets.
- Track and improve conversion rates for walk-ins and appointments.
- Upsell products and services in a subtle, ethical manner.
5. Inventory & Vendor Coordination
- Track inventory usage and request replenishment when stocks go low.
- Coordinate with the procurement or central warehouse for timely stock delivery.
- Perform weekly/monthly inventory audits.
6. Data & Software Management
- Update and monitor clinic management software (e.g., booking system, CRM).
- Ensure accurate entry of customer data, prescriptions, grooming notes, and vaccination history.
- Pull daily reports and assist manager in data analysis for performance metrics.
7. Compliance & Safety
- Ensure all procedures follow veterinary regulations and ethical practices.
- Monitor handling of pets to ensure safety of animals, staff, and pet parents.
- Check grooming and treatment areas for cleanliness and safety.
8. Marketing & Community Engagement
- Support local marketing initiatives like wellness camps or vaccination drives.
- Help with social media content from the clinic (pet photos, happy customer moments).
- Encourage pet parents to leave Google reviews.
9. Emergency & Issue Resolution
- Act as point of contact when the Clinic Manager is unavailable.
- Handle escalations, pet emergencies, or irate customers calmly and effectively.
- Liaise with veterinary professionals in case of critical pet health concerns.
10. Reporting & Feedback
- Share daily reports with the Clinic Manager on bookings, cancellations, issues, and revenue.
- Maintain logs of customer feedback and actions taken.
- Collaborate in review meetings with actionable insights.
