Role Description

The Assistant Administration Officer will oversee day-to-day administrative operations,

lease and property management, maintenance coordination, and security across office

premises, leased properties, and redevelopment project sites.


Key Responsibilities

Office & Facility Management

  • Oversee daily office operations, housekeeping, and asset upkeep.
  • Coordinate routine maintenance, minor civil/electrical repairs, and renovations.
  • Manage AMCs and ensure workplace safety and compliance.

Property & Lease Management

  • Maintain records for owned/leased properties and track rent schedules.
  • Draft, renew, and manage lease agreements and related legal paperwork.
  • Monitor upkeep and services for all company properties.

Security Management

  • Supervise security operations across offices and project sites.
  • Coordinate with agencies for deployment, attendance, and site protocols.
  • Manage visitor access, CCTV monitoring, incident reporting, and police liaison.

Government & Local Liaison

  • Coordinate with MCGM, Police, Fire Dept., and statutory bodies for approvals/NOCs.
  • Represent the company during inspections and ensure compliance with local norms.

Vendor & Contractor Coordination

  • Source and onboard vendors for facility services.
  • Evaluate quotations and issue work orders.
  • Ensure timely, quality completion of maintenance and renovation work.

Documentation & Reporting

  • Maintain property, lease, and utility documentation.
  • Prepare daily/monthly admin, maintenance, and security reports for supervisors.
  • Support audits and ensure proper compliance filing.

Qualifications & Skills

 Bachelor’s degree or a related discipline.

 5–8 years of experience in administration, property management, or facility

operations.

 Understanding of lease documentation, property registration, and statutory

compliance.

 Experience managing vendors, contractors, and security service providers.

 Excellent communication and liaison skills with government and external agencies.

 Proficiency in MS Office (Word, Excel, PowerPoint) and digital record management

on google drive.

 High integrity, problem-solving mindset, and attention to detail.
