Job Overview

We are seeking a highly organized and proactive Administrative Staff member to join our team at a fast-paced machinery retail shop. The ideal candidate will have strong software and data management skills, a keen eye for detail, and the ability to problem-solve efficiently. This role is crucial in supporting daily operations, ensuring smooth administrative processes, and contributing to the overall effectiveness of the business.


Key Responsibilities

Perform general administrative duties such as filing, document preparation, and record keeping

Maintain and update customer, supplier, and inventory databases

Use software tools (e.g., Excel, POS systems, inventory software, CRM) to manage and track sales, stock, and orders

Prepare reports and summaries related to inventory, sales, and daily operations

Handle emails, phone calls, and other communication professionally and efficiently

Support the sales and technical team with documentation, scheduling, and logistics

Monitor office supplies and coordinate procurement when necessary

Assist with data entry and ensure the accuracy of all business records

Help resolve administrative and operational issues through smart problem-solving

Ensure compliance with internal policies and procedures


Requirements

Proven experience in an administrative or office support role (experience in retail or machinery industry is a plus)

Strong proficiency in software applications such as Microsoft Office Suite (especially Excel), inventory management systems, and CRM tools

Excellent organizational and multitasking skills

Smart, resourceful, and solution-oriented mindset

Strong communication skills, both written and verbal

Ability to work independently and as part of a team

High attention to detail and accuracy in data handling

Minimum qualification: Diploma or relevant administrative certification (Bachelor’s degree is a plus)


Preferred Skills

Experience with POS systems and/or ERP software

Familiarity with machinery parts or retail environments

Ability to adapt quickly to new technologies and systems
