Administrative Assistant


Key Responsibilities :


Administrative & Office Support

  • Manage the CEO’s daily schedule, appointments, and correspondence efficiently.
  • Assist in organizing meetings, preparing agendas, recording minutes, and tracking follow-ups.
  • Maintain organized filing systems, documentation, and records (digital and physical).
  • Draft routine correspondence and assist in the preparation of reports and presentations.
  • Coordinate with internal teams to ensure timely communication and information flow.

Logistics & Travel Management

  • Plan and coordinate domestic and international travel, including flights, accommodation, visas, and transport.
  • Handle visa processing, travel documentation, and related compliance requirements.
  • Prepare detailed travel itineraries and manage last-minute changes when needed.
  • Maintain travel logs and expense records for reporting and budget compliance.
  • Prepare and submit expense reports in alignment with financial policies.


Event and Meeting Coordination

  • Provide logistical and administrative support for internal and external meetings, conferences, and engagements.
  • Coordinate with venues, vendors, and stakeholders to ensure smooth event execution.
  • Assist in preparing background materials, participant lists, and presentations.


Data Management & Reporting


  • Maintain and update databases, records, and document repositories.
  • Ensure data accuracy, integrity, and compliance with organizational policies.
  • Support in preparing summaries, reports, and updates as required.


Confidentiality and Discretion:

  • Maintain strict confidentiality regarding sensitive information and discussions.
  • Exercise discretion and professionalism in all communications and interactions.
  • Uphold the highest standards of ethics and integrity while representing the CEO’s office.



Qualifications & Skills:


  • Bachelor’s degree in

    Business Administration, Office Management

    , or a related field.
  • 2–3 years

    of experience in administrative or executive support roles.
  • Proficiency in

    MS Office Suite (Word, Excel, PowerPoint, Outlook)

    .
  • Strong organizational and time-management skills with keen attention to detail.
  • Excellent written and verbal communication skills.
  • Experience in travel coordination, event logistics, and record management.
  • Ability to handle confidential information with discretion and professionalism.
  • Strong interpersonal skills and ability to interact with stakeholders at all levels.
  • Reliable, proactive, and adaptable with a collaborative work ethic.
  • Flexibility and willingness to travel as required.
