Job Description

Key Responsibilities:

Office Administration & Facility Management

  • Supervise daily office operations, including housekeeping, security, pantry, stationery, and maintenance.
  • Ensure proper upkeep of office premises, infrastructure, and assets.
  • Manage facility vendors, AMC renewals, and service contracts.
  • Coordinate with property management and landlords for lease renewals and repairs.
  • Oversee logistics for branch offices and regional centers (if applicable).

Procurement & Vendor Management

  • Identify, evaluate, and manage vendors for administrative services.
  • Negotiate contracts and ensure cost-effective procurement.
  • Maintain vendor records, track payments, and monitor performance.

Asset & Inventory Management

  • Maintain asset registers for IT equipment, furniture, and other fixed assets.
  • Ensure periodic audits and tagging of company assets.
  • Monitor and control administrative expenses within the approved budget.

Travel & Event Coordination

  • Manage travel bookings (air, rail, accommodation, local conveyance) for employees.
  • Assist in organizing corporate events, training sessions, and meetings.

Compliance & Documentation

  • Ensure adherence to company policies and statutory compliance related to admin functions.
  • Maintain all administrative documentation, agreements, and licenses.
  • Support internal and external audits related to administration.

Team & Stakeholder Management

  • Supervise junior admin staff and support teams across branches.
  • Liaise with internal departments (HR, Finance, IT) for smooth coordination.
  • Handle employee queries related to administrative facilities.

Required Skills & Competencies:

  • Strong background in administration within NBFC, BFSI, or corporate setup.
  • Excellent vendor management and negotiation skills.
  • Proficiency in MS Office (Excel, Word, PowerPoint) and ERP systems.
  • Strong organizational, communication, and problem-solving abilities.
  • Ability to multitask and handle pressure in a fast-paced environment.
  • Knowledge of facility and asset management best practices.
