Job Title: Administrative Executive Location: Mumbai Job Type: Full-Time/Part-Time Department: Administration Job Summary: We are seeking a detail-oriented and proactive Administrative Executive to support the smooth functioning of our organization. The ideal candidate will handle a variety of administrative tasks, manage office operations, and ensure efficient internal and external communication. Key Responsibilities: * Oversee and manage daily administrative operations of the office. * Handle scheduling, appointments, and calendar management for senior staff. * Coordinate internal meetings and external appointments, including logistics and documentation. * Maintain and update office records, databases, and filing systems (both electronic and physical). * Support HR and Finance departments with documentation, filing, and data entry. * Manage office supplies inventory and liaise with vendors for procurement. * Prepare reports, presentations, and correspondence as required. * Handle travel arrangements including flights, accommodations, and itineraries. * Assist in organizing company events, meetings, and conferences. * Ensure compliance with company policies and confidentiality of sensitive information. * Welcome and assist guests, clients, and visitors in a professional and courteous manner. * Ensure the reception area and meeting rooms are clean, presentable, and well-equipped for guest arrivals. * Maintain a guest log and ensure proper communication and hospitality standards are followed during visits. * Serve as the primary point of contact for guests during their stay or visit, addressing any inquiries or special requirements promptly. Qualifications and Skills: * Bachelor's degree in Business Administration, Management, or a related field. * Minimum of 1–3 years of experience in an administrative or executive assistant role. * Strong proficiency in MS Office (Word, Excel, PowerPoint, Outlook). * Exceptional organizational and multitasking abilities. * Discretion with confidential information. * Strong attention to detail and problem-solving skills. Preferred Attributes: Experience in working with cross-functional teams. Knowledge of office management tools and software (e.g., ERP systems). Ability to work independently and manage time effectively.
