Job Description

We are a leading aerospace and defence trading company, specializing in the supply of consumables, spare parts, and equipment.

We are looking for a reliable and proactive Admin Executive to handle day-to-day administrative tasks and ensure smooth office operations. The role will focus on travel management, bill verification, and documentation, along with wider responsibilities such as vendor coordination, office facility management, and administrative support to various teams.

Key Responsibilities:

Travel & Logistics

  • Manage travel arrangements including flight, train, bus and hotel reservations
  • Maintain travel records and itineraries for employees and management.

Finance & Documentation

  • Cross-check and verify bills, invoices, and expense claims to ensure accuracy.
  • Maintain proper filing systems (both digital and physical) for bills, receipts, and administrative documents.
  • Assist in budget tracking for administrative expenses.

Office & Facility Management

  • Oversee day-to-day office operations, ensuring supplies, stationery, and equipment are available.
  • Coordinate with facility vendors for housekeeping, maintenance, and repairs.
  • Ensure workplace safety, cleanliness, and compliance with company standards.

Vendor & Procurement Support

  • Liaise with vendors for procurement of office supplies, services, and travel bookings.
  • Negotiate rates and ensure timely payments and proper documentation.
  • Maintain vendor records and service agreements.

Administrative & HR Support

  • Assist HR in onboarding new employees (ID cards, seating arrangements, welcome kits).
  • Manage employee attendance records, leave documents, and other administrative compliance as required.
  • Coordinate internal events, meetings, and training logistics.

General Administration

  • Draft letters, circulate notices, and manage official correspondence.
  • Schedule and coordinate meetings, prepare minutes, and follow up on action items.
  • Provide administrative support to management and different departments as required.

Key Skills & Qualifications:

Bachelor’s degree

Strong organizational and multitasking skills.

Good command over MS Office (Word, Excel, Outlook).

Strong verbal and written communication skills.

Attention to detail and ability to maintain confidentiality.

Ability to work independently and as part of a team.

Detail-oriented with a strong focus on accuracy and quality.

Job Type: Full-time

Pay: ₹10,000.00 - ₹15,000.00 per month
