Sales Coordinator – Tendering Activities

Profile Overview
A Sales Coordinator at Astra Microwave Products Limited, focusing on tendering activities, is responsible for managing and streamlining the entire tendering process—from identifying opportunities to coordinating final submissions. Key Responsibilities
• Tender Identification & Opportunity Management
• Monitor procurement/tender portals for relevant opportunities.
• Analyze tender documents and summarize key requirements and deadlines.
• Register the organization on tender portals and manage all related compliance documentation.
• Tender Process Coordination
• Organize and coordinate responses to RFIs, RFQs, RFPs, and ITTs.
• Liaise with internal departments (sales, technical, finance, legal, and project management) to gather and consolidate required data and documents.
• Maintain version control and supervise timely, accurate submission of proposals and bid documents.
• Documentation & Compliance
• Ensure all proposals adhere to corporate branding guidelines, standard formatting, and quality standards.
• Prepare, review, and maintain necessary forms, technical write-ups, pricing sheets, and pre-qualification documents.
• Submit performance bank guarantees and other post-award documentation as per requirements.
• Stakeholder Engagement
• Act as the central point of contact for tender-related queries internally and externally.
• Coordinate with clients for clarifications, feedback, and negotiation in accordance with Astra’s interests.
• Build and maintain relationships with partners and key accounts.
• Sales Support & Reporting
• Assist the sales team with lead generation and order processing related to tenders.
• Keep records of all bids, submissions, outcomes, and lessons learned.
• Prepare regular status reports for management on tendering activities and success rates.
Required Skills and Qualifications
• Bachelor’s degree in Electronics, Business, or related field (preferably with exposure to RF, Microwave, Space, or Defense domains).
• 2–5 years experience in sales coordination or tender management, ideally within a technical or engineering industry.
• Strong understanding of public sector or defense procurement processes.
• Solid communication, stakeholder management, and interpersonal skills.
• Excellent organizational abilities, attention to detail, and ability to manage deadlines.
• Proficiency with office and document management software (MS Office, ERP/CRM systems).
• Analytical mindset and the capability to interpret complex technical and commercial documents.
• Ability to work independently and collaboratively with multidisciplinary teams.
