Job Summary
A GRN (Goods Receipt Note) Executive is responsible for accurately recording the receipt of incoming materials, verifying them against purchase orders and invoices, and creating the GRN document within an ERP or inventory system. Key duties include inspecting materials for quantity and quality, coordinating with other departments like purchasing and quality control, maintaining proper documentation, updating inventory records, and ensuring compliance with process audits. The role requires attention to detail, basic computer skills, and knowledge of inventory and storekeeping procedures.
Qualifications
- Education: Bachelor's degree.
- Experience: 1-3 years of experience in warehouse operations, or a related field.
1 ) Goods verification:
Physically check all incoming deliveries against purchase orders (POs), supplier delivery notes, and invoices. This includes verifying the accuracy of quantities, product specifications, batch numbers, and expiry dates.
- GRN creation and data entry: Generate and input accurate GRN entries into the company's ERP (Enterprise Resource Planning) or inventory management system for all received stock.
- Discrepancy reporting: Immediately identify and document any discrepancies, such as shortages, over-deliveries, damages, or incorrect items, and report them to the procurement and quality control (QC) teams for resolution.
- Quality control coordination: Coordinate with the Purchase team to ensure that incoming goods are inspected and meet the company's quality standards before being officially accepted and entered into inventory.
- Documentation and record-keeping: Maintain organized GRN logs and a complete record of all receiving documents, including supplier challans, invoices, and signed GRNs, for audit and reporting purposes.
- Material handling: Oversee the proper labeling, tagging, and putaway of received materials into their designated storage locations within the warehouse.
- Interdepartmental communication: Serve as a communication link between the warehouse, procurement, accounting, and sales departments to resolve issues related to deliveries, discrepancies, and invoicing.
- Inventory reconciliation support: Participate in stock audits and cycle counts to help reconcile physical stock with system records and identify root causes for any discrepancies.
Measurable goals (KPIs)::
GRN error rate:
Maintain a GRN error rate below a specific target (e.g., less than 0.5%). This is calculated as the number of GRNs with discrepancies divided by the total number of GRNs processed.
Inventory discrepancy rate:
Minimize the inventory discrepancy rate, which is the variance between physically counted stock and the quantity recorded in the ERP system.
Data entry accuracy:
