We are seeking a highly organized, proactive, and resourceful Executive Assistant to support the CEO in managing operations. The role involves strategic coordination, administrative management, and project assistance to ensure smooth execution of the CEO’s responsibilities.
Key Responsibilities:
1. Executive Support
* Manage the CEO’s calendar, schedule meetings, and coordinate appointments across multiple companies.
* Handle travel arrangements (domestic & international), including itineraries and bookings.
* Draft, review, and manage emails, reports, and presentations on behalf of the CEO.
2. Business Coordination
* Act as a liaison between the CEO and department heads, ensuring timely communication and follow-ups.
* Assist in monitoring key projects, business updates, and deadlines across all group companies.
* Support in preparation for board meetings, reviews, and strategy sessions.
3. Documentation & Reporting
* Prepare and maintain reports, dashboards, and meeting notes.
* Draft official correspondence, agreements, and internal communications.
* Maintain confidential files and records securely.
4. Project Assistance
* Support in special projects, new business initiatives, and process improvement plans.
* Research and provide insights for business decisions (competitor analysis, market trends, etc.).
5. Stakeholder Management
* Coordinate with clients, partners, and senior executives for meetings and collaborations.
* Represent the CEO professionally in communications and interactions.
6. Administrative Support
* Manage office coordination tasks related to the CEO’s work.
* Oversee expense tracking and reimbursements for CEO-related activities.
Key Skills & Competencies:
• Excellent communication & presentation skills (verbal & written).
• Time management and ability to handle multiple priorities.
• High level of confidentiality, integrity, and discretion.
• Analytical & research skills to support business decisions.
• Proficiency in MS Office Suite (Word, Excel, PowerPoint) and digital collaboration tools.
• Strong interpersonal skills for dealing with stakeholders at all levels.
Qualifications & Experience:
• Graduate/Postgraduate in Mech engineering, or related fields.
• 3–7 years of experience as an Executive Assistant/Personal Assistant/Coordinator (preferably for CXO-level executives).
• Exposure to manufacturing/automotive/business operations will be an added advantage.
