Job Description

The US Onboarding Specialist will be responsible for managing the end-to-end onboarding experience of new hires in the United States. This role ensures a smooth transition for employees from the time of offer acceptance to their successful integration into the company. The specialist will coordinate with HR, recruitment, payroll, compliance, and business leaders to deliver a seamless onboarding experience while maintaining compliance with US labor laws and company policies.

Key Responsibilities

  • Coordinate pre-boarding activities including offer letters, background checks, drug screenings, and documentation.
  • Facilitate new hire onboarding programs ensuring an engaging, compliant, and positive experience.
  • Act as the first point of contact for new hires in the US, answering questions about policies, benefits, and processes.
  • Manage I-9 verification, E-Verify, and ensure compliance with federal and state employment regulations.
  • Partner with payroll and benefits teams to ensure timely enrollment and accurate employee records.
  • Conduct orientation sessions covering company culture, HR policies, compliance, and systems.
  • Track onboarding progress and maintain accurate records in HRIS/ATS systems.
  • Work closely with hiring managers to create onboarding plans tailored to each role.
  • Continuously evaluate onboarding processes and recommend improvements for efficiency and employee experience.

Qualifications

  • Bachelors degree in Human Resources, Business Administration, or related field.
  • 25 years of HR or onboarding experience, preferably with US-based employees.
  • Strong knowledge of US employment laws, I-9 compliance, and onboarding best practices.
  • Experience with HRIS/ATS systems.
  • Excellent organizational and communication skills.
  • Ability to handle confidential information with discretion.
  • Strong customer service orientation and ability to build rapport with new employees.
