Job Description

Role & responsibilities

1. Manage the onboarding and orientation process for both in-house employees and client-

placed consultants.

2.Handle contract paperwork and documentation for C2C, W2, and 1099 employment types,

ensuring compliance with federal and client-specific regulations.

3. Maintain a systematic record of contracts and onboarding documentation within CEIPAL

and other HR tools for easy access and audit readiness.

4. Coordinate and monitor background verification (BGV) processes and ensure all consultants

are cleared prior to start date.

5. Perform E-Verify checks and ensure accurate submission of I-9 forms for all employees in line

with USCIS requirements.

6. Collect, verify, and track essential documents such as resumes, IDs, work authorizations, and

client-specific forms.

7. Communicate onboarding steps and expectations clearly to new hires and act as their point of

contact throughout the process.

8. Collaborate with internal teams including Recruitment, HR, Payroll, and Compliance to

streamline onboarding procedures.

9. Ensure offer letters, NDAs, and contracts are signed and returned on time.

10. Work closely with client SPOCs to coordinate onboarding schedules, track start dates, and follow up on pending requirements.

11. Ensure data accuracy in ATS (e.g., CEIPAL, Bullhorn) and keep documentation up to date.

12. Create and maintain onboarding checklists for internal reporting and compliance.

13. Follow up on pending onboarding items and escalate delays as needed to internal stakeholders.

14. Support weekly and bi-weekly payroll coordination by ensuring timesheet collection and

consultant compliance.

Preferred candidate profile

• Experience in handling onboarding for federal clients or VMS platforms.

• Knowledge of client compliance guidelines for onboarding and reporting.

• Experience coordinating in-house orientation and remote consultant onboarding.

• Familiarity with offer management, BGV vendors, and client audit processes.
