Tender Executive

Position Overview: The Tender Executive will be responsible for managing the complete tendering process — from identifying potential tenders to preparing and submitting technical and commercial bids. The role demands strong attention to detail, understanding of contract conditions, and coordination across departments to ensure accurate and timely submission of tenders. This position plays a key role in supporting business growth through efficient bid management and compliance with tender requirements from government, PSU, and private clients. Key Responsibilities: 1. Tender Identification & Analysis Regularly monitor e-tender portals, newspapers, and industry sources for relevant opportunities. Evaluate tender documents, eligibility criteria, and scope of work. Summarize key details and present tender opportunities to management for go/no-go decision. 2. Tender Preparation & Documentation Collect and organize all required technical, financial, and administrative documents. Prepare pre-qualification documents (PQ), technical proposals, and commercial bids. Ensure all documentation aligns with tender requirements and company policies. Upload and submit tenders through online portals (GeM, CPP, eProcurement, etc.) within deadlines. 3. Costing, Estimation & Pricing SupportCoordinate with procurement, engineering, and finance teams to obtain input costs. Assist in preparing price bids, rate analysis, and comparative statements. Maintain confidentiality of pricing strategies and bid documents. 4. Coordination & Communication Liaise with clients, vendors, and consultants for clarification on tender terms. Attend pre-bid meetings and record discussions and clarifications. Coordinate with internal teams (technical, finance, HR, legal) for input collection. 5. Post Tender Follow-up & Reporting Track tender results and prepare reports on submitted and awarded tenders. Maintain database of tenders, submission records, and correspondence. Support in contract negotiation and handover of awarded tenders to project execution team.
