Overview:
Position Summary:
The Talent Acquisition Coordinator will be accountable for supporting the Visy Talent Acquisition team with all recruitment administration functions.
Relationship building and communication skills are essential when partnering with the Talent Acquisition team as well as internal business managers, recruitment suppliers and Candidates. The Talent Acquisition Coordinator will be responsible for the accurate updating and maintenance of technology tools used in hiring at Visy.
Key Responsibilities:
- Review jobs in Applicant Tracking System to ensure accuracy of position information via HRIS system
- Upload Position Description for all roles within Applicant Tracking System
- Ensure Job Brief details have been uploaded and are accurate in partnership with Talent Acquisition Team
- Create Job Advertisements for roles within Applicant Tracking System based on Position Description, Job Brief and Job Advert Template
- Use of processes and systems in line with standard Visy operating procedures Team feedback
Candidate Screening, Support and Customer Service:
- Review applicant information and visually screen candidates into a short list based on instructions via the job brief and feedback loops from the Talent Acquisition Team
- Taking relevant actions on candidates as they progress through the hiring steps in the Applicant Tracking System (including communications, tagging candidates in Talent Pools)
- Source candidates as needed through relevant sourcing channels (Applicant Tracking System, Seek Talent Search, LinkedIn Recruiter)
- Assisting with candidate response and engagement
- Scheduling candidate activities
- Responding to candidate queries in writing
- Liaising and consulting with line managers and Talent Acquisition Specialists across the business with advice and updates on the recruitment process
- Maintaining documentation and records in accordance with Visy systems, policy, procedures and legislation including adherence to privacy requirements for record accuracy and currency
- Use of processes and systems in line with standard Visy operating procedures

Administration Support post candidate selection:
- Co-ordinating Criminal History & medical checks
- Reviewing of medical and probity assessment provider results and providing feedback in accordance to guidelines via SharePoint resources
- Providing general administration support via Microsoft applications
- Provide support for Talent Acquisition Team with drafting contracts
- Use of processes and systems in line with standard Visy operating procedures
- Stakeholder feedback
Relationship Management:
- Collaborate with Talent Acquisition Team resources to validate and refine the process
- Developing and maintaining sound working relationships with external service providers Stakeholder feedback

Experience & Qualifications:
Mandatory (critical for the role):
- Solid demonstrated experience in a fast paced administrative and service driven environment
- Ability to manage multiple tasks and conflicting priorities
- Demonstrated experience supporting multiple stakeholders in complex environments
- Strong computer/information management skills
- Demonstrated ability to priorities workloads and meet deadlines
Desirable (preferable for the role):
- Previous experience in a high-volume recruitment environment
- Previous experience supporting a recruitment function in either an internal or agency environment
