Job Summary

We are looking for a highly organized and detail-oriented Sales Coordinator to manage a diverse range of responsibilities across sales operations, accounts coordination, and client communication. The ideal candidate will be efficient, proactive, and capable of supporting cross-functional teams while ensuring smooth sales operations and excellent client service.

Key Responsibilities

Sales Coordination Duties

1. Sales Support

  • Assist the sales team in preparing proposals, presentations, and contracts.
  • Coordinate sales activities including scheduling meetings, calendar management, and travel arrangements.

2. Client Communication

  • Serve as a primary point of contact for clients, addressing inquiries and providing timely follow-ups.
  • Build and maintain strong client relationships to support customer satisfaction and repeat business.

3. Order Processing

  • Manage the complete order cycle, from order entry to delivery, ensuring accuracy and timely execution.
  • Coordinate with logistics, inventory, and finance teams to resolve order or payment-related issues.

4. Reporting & Analysis

  • Prepare regular sales reports, including performance tracking, pipeline updates, and market insights.
  • Analyze sales data to identify gaps and recommend actionable improvements.

5. Event Coordination

  • Support planning and execution of sales events, trade shows, and client meetings.
  • Manage event logistics, material preparation, and post-event follow-up activities.

Accounts & Finance Support

6. Invoicing & Billing

  • Prepare and issue accurate invoices to clients.
  • Follow up on outstanding payments and resolve billing discrepancies.

7. Accounts Receivable Management

  • Monitor receivables and ensure timely collection.
  • Maintain updated records of client transactions and payment histories.

8. Expense Tracking

  • Track and reconcile sales team expenses, including travel and client meetings.
  • Ensure adherence to company expense policies.

9. Financial Reporting

  • Assist in preparing financial reports related to sales revenue, performance, and expenses.
  • Provide recommendations to enhance financial efficiency.

10. Budget Support

  • Assist in preparing and monitoring the sales budget.
  • Track budget utilization and provide periodic updates.

Qualifications

  • Bachelors degree in Business Administration, Accounting, Human Resources, or related field.
  • 3 - 5 years of experience as a Sales Coordinator or in a similar role.

Skills

  • Proficiency in CRM tools and accounting software such as Tally, SAP.
  • Strong organizational and time management abilities.
  • Excellent verbal and written communication skills.
  • Ability to multitask and prioritize in a fast-paced environment.
  • Strong attention to detail and problem-solving capability.
