Job Overview

We are looking for a Purchase Manager to oversee all procurement-related activities of the school. The ideal candidate will ensure cost efficiency, quality assurance, and timely availability of materials and services. This role involves strategic planning, vendor management, and coordination with all departments to optimize the school’s purchasing operations.

Key Responsibilities

Procurement & Cost Optimization:

  • Develop and implement effective purchasing strategies to reduce costs without compromising quality.
  • Negotiate with vendors for better pricing, payment terms, and delivery schedules.
  • Identify alternative suppliers and optimize bulk purchasing for better cost efficiency.

Vendor & Inventory Management:

  • Build and maintain strong relationships with reliable vendors and suppliers.
  • Maintain accurate records of goods ordered, received, and stored.
  • Implement inventory control measures to avoid wastage or shortages.
  • Conduct regular store audits to ensure transparency and efficiency.

Quality Control:

  • Ensure all procured materials meet required quality and safety standards.
  • Coordinate with department heads (kitchen, maintenance, academic, etc.) for quality verification.
  • Recommend cost-effective and high-quality alternatives where possible.

Budgeting & Reporting:

  • Prepare and manage the annual procurement budget.
  • Track and analyze spending to identify cost-saving opportunities.
  • Maintain detailed records and documentation of all procurement activities.

Cross-Functional Coordination:

  • Work with Accounts for timely payment and reconciliation.
  • Collaborate with the Executive Officer, Store Incharge, and Maintenance Manager to forecast requirements and plan purchases.

Desired Candidate Profile

  • Graduate in Business Administration, Commerce, or Supply Chain Management (MBA preferred).
  • 2–4 years of experience in procurement or purchase, preferably in schools, hospitality, or institutional sectors.
  • Strong negotiation, communication, and analytical skills.
  • Proficient in MS Excel and capable of maintaining basic inventory and purchase records.
  • Integrity, attention to detail, and ability to work independently.
