Job Description

The Project Coordinator will be responsible for supporting end-to-end execution of IT infrastructure and system integration projects. The role involves coordination with OEMs, vendors, internal technical teams, clients, and management to ensure timely delivery, documentation accuracy, and compliance with project requirements. The candidate must have strong communication, organizational, and multi-tasking skills.

Key Responsibilities1. Project Planning & Coordination

  • Assist Project Manager in preparing project plans, schedules, and resource allocation.
  • Coordinate kick-off meetings with internal teams, OEMs, vendors, and customers.
  • Track project milestones, timelines, and dependencies.

2. Documentation & Reporting

  • Prepare and maintain project documentation such as BoQ, SOW, MOMs, tracking sheets, and progress reports.
  • Maintain updated documentation related to technical specs, design docs, and approvals.
  • Provide weekly and monthly project status reports to management and clients.

3. Vendor & OEM Coordination

  • Liaise with OEMs for product delivery, technical clarifications, and RMA support.
  • Coordinate with suppliers for procurement, delivery follow-ups, and logistics.
  • Track material inward, outward, and maintain delivery schedules.

4. Customer Coordination

  • Serve as a single point of contact (SPOC) for client updates, escalations, and approvals.
  • Arrange site visits, installation schedules, and demo/testing coordination.
  • Ensure customer requirements are captured accurately and relayed to the technical team.

5. Execution Support

  • Coordinate installation & commissioning activities with engineers.
  • Track progress of IT infrastructure deployments (Servers, Networking, Security, Storage, UPS, etc.).
  • Maintain issue logs and follow up until closure.

6. Compliance & Quality

  • Ensure project execution adheres to company standards, compliance policies, and customer SLAs.
  • Monitor quality of work done by field engineers and vendors.
  • Support audits, documentation checks, and certification requirements.

7. Financial & Commercial Support

  • Assist in invoice preparation, billing documents, and supporting papers.
  • Track PO, GRN, delivery challans, and payment milestones.
  • Coordinate with accounts for vendor payments and customer invoices.

Required Skills & QualificationsTechnical Skills

  • Basic knowledge of IT Infrastructure (Networking, Servers, Storage, Security, Passive Infra, Cloud).
  • Understanding of project management processes and tools.
  • Proficiency in MS Office, Excel, PowerPoint, and project tracking tools.

Soft Skills

  • Excellent communication (verbal & written).
  • Strong coordination and follow-up skills.
  • Ability to multitask under pressure.
  • Good documentation and presentation abilities.

Educational Qualification

  • Graduate / Diploma in Engineering (IT/Computer/Electronics preferred).
  • Certifications like ITIL, PMP (Added Advantage).

Experience

  • 1–5 years in IT System Integration / IT Services industry preferred.

Job Types: Full-time, Permanent

Pay: ₹30,000.00 - ₹35,000.00 per month
