Job Description

Purpose/Objective

Team Member – CPAG is responsible for executing day-to-day project assurance tasks including MIS preparation, documentation validation, NFA checks, and data collation for budgeting and reviews. This role works under the guidance of CPAG leads to ensure accurate tracking of project performance metrics, timely execution of assigned tasks, and maintenance of digital records and compliance documentation. As the operational backbone of the assurance process, the team member ensures CPAG’s standards are upheld at the ground level and supports continuous improvement initiatives through active participation and feedback.

Key Responsibilities of Role

Project Performance Monitoring and Reporting: Assist in site visits and maintain regular reporting on quantitative metrics (cost, schedule, progress) and qualitative insights (feedback). Maintain detailed trackers and dashboards that capture cost, schedule, and delivery progress across multiple projects, enabling real-time visibility for leads and BU stakeholders. Collate project inputs from execution teams and prepare monthly MIS, ensuring data accuracy, completeness, and alignment with CPAG reporting formats. Documentation and Assurance Compliance: Prepare and maintain project documentation such as vendor qualification checklists, cost comparison sheets, and deviation logs to ensure compliance with SOPs and DOAs. Support NFA preparation by collecting required approvals, estimates, and pre-qualification notes, facilitating a smooth and auditable approval process. Budgeting Template Execution and Validation Support: Assist BU teams in populating standardized budget templates by verifying assumptions, including risk buffers, and ensuring logical phasing of CapEx across quarters. Develop and deliver structured annual reports providing clear visibility into inventory levels, utilization trends, and variances for informed decision-making. Cross-validate submitted budgets with historical data and CPAG standards, highlighting any discrepancies or unrealistic timelines to leads. Coordination of Reviews and Council Events: Support the planning and logistics for PACE reviews and Project Councils, ensuring timely data collation, presentation prep, and attendance coordination across stakeholders. Document key discussions, follow-ups, and action items from each event to ensure traceability and closure by responsible teams. Tracking Implementation of Actions and Audits: Maintain a tracker of all action items emerging from reviews, audits, or budgeting discussions, and regularly engage with BU teams for status updates and compliance checks. Escalate delays or non-closure of critical items to CPAG leads with detailed context and potential implications for project delivery. Use and Feedback on Digital Tools: Actively use CPAG's digital systems for NFA processing, budgeting, and reporting; ensure data is timely and accurately entered to maintain integrity. Provide structured feedback on system usability, bugs, or enhancement areas to the CPAG digital enablement team for continuous improvement. Continuous Improvement Execution Support: Carry out regular site visits to observe how work is being executed, record both qualitative and quantitative findings, and flag any delays, bottlenecks, or issues in project progress. Ensure continuous monitoring and alignment of vendor performance metrics across all BUs. Reduce Procurement turnaround time through streamlined approval workflows and proactive vendor engagement. Work with cross-functional teams to test new formats or tools, gather implementation feedback, and support group-wide rollout under lead supervision.
