Job Overview:

The Vendor Manager is responsible for overseeing and managing relationships with the organization's suppliers and vendors to ensure that goods and services are delivered in a timely, cost-effective, and high-quality manner. This role involves negotiating contracts, managing vendor performance, resolving issues, and working closely with internal stakeholders to align vendor services with organizational needs and objectives.

Key Responsibilities:

  1. Vendor Selection and Onboarding

  • Identify and evaluate potential vendors and suppliers.
  • Conduct due diligence and risk assessments to select the best vendors.
  • Facilitate the on boarding process, including contract negotiations, compliance checks, and integration into the company’s systems.
  1. Contract Management

  • Negotiate and draft vendor contracts, including terms and conditions, pricing, and service level agreements (SLAs).
  • Ensure contracts are legally sound and align with organizational policies.
  • Review and renew contracts as necessary, ensuring favourable terms for the organization.
  1. Performance Monitoring and Management

  • Develop and implement vendor performance metrics and key performance indicators (KPIs).
  • Regularly assess and monitor vendor performance against agreed-upon standards and SLAs.
  • Address and resolve performance issues, including negotiating solutions and corrective actions.
  1. Relationship Management

  • Build and maintain strong relationships with key vendors and suppliers.
  • Serve as the primary point of contact for vendor-related issues and queries.
  • Foster collaboration and communication between vendors and internal departments.
  1. Cost Management and Optimization

  • Monitor and manage vendor expenditures and budgets.
  • Identify opportunities for cost savings and process improvements.
  • Conduct regular market research to ensure competitive pricing and value for money.
  1. Risk Management

  • Identify and assess potential risks associated with vendor relationships and supply chains.
  • Develop and implement risk mitigation strategies to address potential issues.
  • Ensure vendors comply with regulatory requirements and industry standards.
  1. Compliance and Documentation

  • Ensure all vendor activities comply with company policies, legal regulations, and industry standards.
  • Maintain accurate and up-to-date documentation related to vendor agreements, performance reports, and communications.
  • Conduct audits and reviews to ensure compliance and identify areas for improvement.
  1. Reporting and Analysis

  • Prepare and present reports on vendor performance, cost savings, and other key metrics to senior management.
  • Analyse data to identify trends, opportunities, and areas for improvement.
  • Provide recommendations based on analysis and performance evaluations.
