Job Description

Role & responsibilities

Key Responsibilities

  1. Handling Statutory Compliances

    :
    • Coordinate with PF & ESIC consultants for profile creation, challan validation processing, DOE, KYC, Joint Declarations, claims (Withdrawal/Advance/Transfer/Death Claims), Aadhaar Verification, dispute settlements if any and return filings.
    • Guide and resolve employee queries related to PF & ESIC.
    • Regularly audit PF UAN and ESIC records to identify and mitigate risks.
    • Coordinate with statutory consultants for remittances, licenses registration or renewals, and returns under applicable Labour Acts such as- P.Tax, LWF, S&E, MW etc.
    • Ensure compliance with statutory registers, forms, reports, and muster rolls.
    • Create and Maintain compliance calendar.
    • Fixing of Annual holiday calendar with reference to S&E guidelines, GOs and NFH rules.
    • Lead special projects, including planning, execution, and system automation.
  2. Handling Labour Compliance

    :
    • Ensure placement of updated and relevant forms, notices, notifications & abstracts across Pan-India office premises under Abstract to Display and other statutory requirements.
    • Coordinate Labour Officer visits, inspections, notices and disputes with necessary investigations, findings, action plan and execution for amicable closure with respective labour boards.
  3. Risks Register and Compliance Certificate

    :
    • Perform monthly internal audits on statutory & labour compliance matters.
    • Develop and execute action plans to mitigate risks.
    • Quarterly Preparation & Submission of Risk Register and Compliance Certificate to the company secretary team.
  4. HR Audits

    :
    • Support HR audits related to compliance activities.
    • Work with various stakeholders to conduct necessary investigations and derive inferences.
    • Design and implement corrective actions, measuring effectiveness periodically.

In-Depth knowledge of applicable Labour Acts and activities:

  • Employees Provident Fund and Miscellaneous Provisions Act

    PF UAN Creation, Returns, Challans, Employer Approvals, KYC and Joint Declarations, claim support etc.; Employee awareness communications.
  • Employees State Insurance Corporation Act

    - Registration of sub codes, monthly enrolment of IPs, Claims etc; Employee awareness communications.
  • The Labour Welfare Fund Act

    (State Wise) Remittance, registers, periodic updating of contribution rate to payroll & accounts.
  • Trades on Professions and Callings

    (State wise) – Registration, Renewal, Returns – EC & RC, remittance, periodic updating of contribution rate to payroll & accounts.
  • Trade License

    – Registration & renewals remittance.
  • The Shops and Establishment Act

    (State wise) - Registration, Amendments, Returns, Renewal, registers.
  • The Maternity Benefit Act

    – Returns and Registers.
  • The Employee’s compensation Act

    – Returns and registers.
  • Payment of Bonus Act

    - Returns and registers.
  • Subsistence Allowance

    - Returns and registers.
  • CLRA

    – Registration, Renewal, Registers and Returns
  • The Industrial Establishment (Conferment of permanent status to workmen) Act

    – Returns and Registers.
  • The Industrial Establishment (National and Festival Holidays) Act

    - Returns and Registers.
  • The Equal Remuneration Act

    - Returns and Registers.
  • The Payment of Gratuity

    - Returns and Registers, audit for timely disbursal of benefits, support for demised cases.
  • The Payment of Bonus

    - Returns and Registers.
  • The Minimum Wages

    - Returns and Registers, periodic updating of wage rate state wise to payroll team.
  • The Payment of Wages

    - Returns and Registers.
  • Sexual Harassment of Women at Workplace

    – Returns and Registers, POSH convenor, IC committee – renewal and new appointments, scheduling training sessions through internal/external sources, awareness employee communications.

Preferred candidate profile

  • Candidate must be having at least 4-6 yrs of core experience only in Statutory & labour compliance domain
  • Good communication
  • Strong skills in drafting
  • Hands on experience in MS office
  • Field Experience
  • Education - MBA in HR or Graduate with Courses in Labour Compliance
