Job Description

HR & Admin Assistant – Roles and Responsibilities (Hospital)

Human Resource Responsibilities

  • Assist in the recruitment process by sourcing candidates, scheduling interviews, and coordinating with hiring managers.
  • Support onboarding activities including documentation, ID card creation, orientation, and joining formalities.
  • Maintain employee records such as attendance, leave management, personal files, and contract renewals.
  • Handle staff queries regarding HR policies, leaves, payroll inputs, and hospital rules.
  • Coordinate training programs, CME sessions, and mandatory hospital workshops.
  • Assist with performance appraisal documentation and data collection.
  • Ensure compliance with hospital HR policies, HR audits, and statutory requirements.
  • Support employee engagement activities, celebrations, and internal communication.

Administrative Responsibilities

  • Maintain smooth day-to-day operations of the hospital administrative department.
  • Support front office operations, visitor management, and documentation.
  • Manage inventory of office supplies, stationery, and administrative materials.
  • Assist in handling vendor coordination, purchase follow-ups, and service providers.
  • Prepare reports, letters, notices, circulars, and maintain proper filing.
  • Help in scheduling meetings, preparing minutes, and following up on action points.
  • Coordinate with different departments such as nursing, billing, IT, housekeeping, and maintenance.
  • Handle billing of outsourced staff, housekeeping staff attendance, and vendor payments (where applicable).
  • Ensure cleanliness, safety protocols, and administrative compliance are followed within the hospital.

General Responsibilities

  • Maintain confidentiality of patient and staff information.
  • Support hospital management in audits (NABH, internal audits, etc.).
  • Assist in grievance handling of employees and escalate issues as needed.
  • Provide administrative support to senior management and HR department.
  • Ensure timely communication and smooth workflow across all hospital units.


Salary Upto : 50k to 55k

Location : Mumbai ( Malad East)
