Job Description

Government Tender Executive JD:

Key responsibilities:

· Tender Identification and Analysis: Monitor government e-procurement portals (e.g., GeM, TNMSC CPPP, IREPS) to find relevant tender opportunities. Analyze tender documents, including Requests for Proposals (RFPs), Request for Quotations (RFQs), scope of work, technical specifications, and eligibility criteria, to determine business fit and compliance requirements.

· Bid Preparation and Compilation: Coordinate with various internal departments (e.g., technical, sales, finance, legal) to gather necessary information and documentation. Compile and prepare comprehensive technical and commercial bid documents, ensuring all forms, declarations, and annexures are accurate and complete.

· Coordination: Coordinate with various internal departments like sales, accounts, and project management to gather information and ensure all teams are aligned for bid preparation.

· Submission and Follow-up: Oversee the timely online or physical submission of tender documents, strictly adhering to all deadlines. Handle post-submission activities such as attending pre-bid meetings, responding to queries, providing clarifications, and following up on bid status with government departments.

· Post-submission activities: Process approved orders, manage the generation of invoices and shipping documents, and follow up on payment schedules and reconciliation.

· Documentation and Compliance: Ensure all submissions meet the specific formats, legal, and regulatory standards set by government bodies. Maintain meticulous, audit-ready records of all tender activities, including submitted documents, communications, and outcomes. Manage pre-qualification criteria, certifications, and registrations, ensuring they are current.

· Relationship management: Develop and maintain relationships with government departments and other stakeholders.

· Coordination and Reporting: Liaise with government officials and internal stakeholders to build strong relationships and ensure smooth communication. Prepare regular reports and status updates for management on tender progress, outcomes, and performance metrics.

· Costing and Negotiation: Assist in cost estimation, pricing, and rate analysis for proposals. Participate in negotiations of terms and conditions with government buyers when required.

Job Types: Full-time, Permanent

Pay: ₹20,000.00 - ₹35,000.00 per month
