Role & Position: Executive Secretary & Business Manager

Reporting: MD/ ED/ CEO

Job Location: Manesar/ Gurugram

Experience: 8-12 Years

Role Category

  • The Executive Assistant must be adept at producing high-quality documents (Word, Excel) and presentations (PowerPoint), MIS, Reports under tight deadlines.

  • Multitasking and Prioritizing workflow are essential to success in this role.

  • Should be able to communicate in an articulate manner (Written, Verbal) and be accustomed to working in a fast-paced environment.

Job Role and Profile:

  1. Excellent Business Communication- Written & Verbal, Presentation and interpersonal skills.

  2. Independent handling of

    Internal and External communications with the clients, stakeholder and vendor’s

  3. Maintaining CMD Office Calendar, Planning & Ensuring priorities of daily Agenda, Schedule and Manage Appointments, Meetings, and Conferences.

  4. Guest Relation/PR Communication

    with external clients and vendors on regular basis – As per business and work requirements.
  5. Act as a liaison between the

    executive and internal/external stakeholders.

  6. Draft, review, and manage correspondence, including emails, reports, and presentations.

  7. Prepare

    agendas and materials for meetings.

  8. Record minutes, track action items, and ensure follow-ups are completed.

  9. Organize travel plans, including flights, accommodations, and itineraries.

  10. Support special projects, ensuring timely completion.

  11. Conduct research and compile data as needed.

  12. Maintain organized records and filing systems.
  13. Handle confidential information with discretion.

  14. Uphold the company’s core values by

    maintaining honesty, ethical conduct, and professionalism.

  15. Ensure integrity to company objectives, supporting leadership and confidential initiatives.

  16. Coordination with internal Departmental Head’s / Functional Heads

    for smooth transition of Daily, Weekly andMonthly reports and Updates.
  17. Presentation Development, Data Analysis and MIS Reports.

  18. Good understanding of Mail Management Tools, Power Point, MS Excel, VISIO and Internet Application.

Key Specification and Attributes:

  • Bachelors degree in Business Administration or a related field.

  • Minimum of 6-10 years of experience in an administrative or executive assistant role.

  • Excellent communication (verbal and written) and interpersonal skills.

  • Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).

  • Strong organizational and time management abilities.

  • Ability to handle multiple priorities in a fast-paced environment

  • High level of discretion and confidential data handling
