Executive Assistant to the Director


Role Requirement:

  • Education:

    Graduation/Master Degree/MBA
  • Experience:

    Minimum 10+ years of experience as Executive Assistant


Key Responsibilities:


Administrative Support

  • Manage and maintain the Director’s calendar, appointments, and travel arrangements.
  • Prepare correspondence, reports, presentations, and other documents as requested.
  • Email drafting, letter writing and preparing MOM as and when required.
  • Screen and prioritize incoming communications, including emails, calls, and meeting requests.
  • Coordinate meetings, conferences, and events, including logistics, agendas, and minutes.

Strategic and Operational Support

  • Support the Director in project management, tracking key deliverables and deadlines.
  • Conduct research, compile data, and prepare briefings or summaries to support decision-making.
  • Liaise with senior leaders, board members, and external stakeholders on behalf of the Director.
  • Maintain a high level of awareness of organizational priorities and assist in aligning the Director’s activities accordingly.

Office and Information Management

  • Organize and maintain electronic and physical files for easy access and confidentiality.
  • Handle expense reports, invoices, and budget tracking related to the Director’s office.
  • Develop and implement administrative systems to improve workflow and efficiency.

Confidentiality and Professionalism

  • Exercise discretion and maintain confidentiality in all matters.
  • Represent the Director’s office with professionalism, tact, and integrity.


Skills:

  • Exceptional organizational and time-management skills with keen attention to detail.
  • Strong written and verbal communication skills.
  • Ability to manage multiple priorities in a fast-paced, dynamic environment.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and other productivity tools.
  • Strong interpersonal skills with the ability to work effectively across all levels of the organization.
