Job Description

The Executive Assistant / Personal Assistant / Office Administrator will provide comprehensive administrative and operational support to senior management and ensure the smooth functioning of daily office activities. The role requires strong organizational skills, discretion, professionalism, and the ability to handle multiple priorities efficiently.

Key Responsibilities:1. Executive & Personal Assistance:

  • Manage the Director’s/Management’s daily schedule, appointments, and travel arrangements.
  • Handle confidential correspondence, reports, and documentation with discretion.
  • Organize and coordinate meetings, prepare agendas, and record minutes.
  • Maintain a filing system for important and confidential company documents.
  • Act as a point of contact between the executive and internal/external stakeholders.

2. Office Administration:

  • Oversee day-to-day office operations to ensure efficiency and organization.
  • Maintain inventory of office supplies and coordinate with vendors for procurement.
  • Supervise housekeeping, office maintenance, courier, and related administrative functions.
  • Support HR and Accounts departments with documentation, attendance records, and expense reports.
  • Handle incoming calls, emails, and general correspondence.

3. Coordination & Communication:

  • Liaise with departments to ensure smooth communication and task follow-up.
  • Coordinate internal and external meetings, company events, and travel logistics.
  • Draft professional emails, letters, and communication on behalf of management.

4. Data & Record Management:

  • Maintain accurate records of company assets, employee data, and administrative files.
  • Prepare reports, presentations, and spreadsheets as requested by management.
  • Handle confidential information responsibly and securely.

5. Additional Responsibilities:

  • Assist in onboarding new employees and basic HR coordination.
  • Support management in personal tasks, scheduling, and correspondence as needed.
  • Perform any other duties assigned by management to support business operations.

Required Skills & Qualifications:

  • Bachelor’s degree in Business Administration, Management, or a related field.
  • Proven experience as an Executive Assistant, Personal Assistant, or Office Administrator.
  • Excellent communication, interpersonal, and organizational skills.
  • Proficient in MS Office (Word, Excel, PowerPoint, Outlook).
  • Ability to handle sensitive information with confidentiality and professionalism.
  • Strong time management skills with the ability to multitask and prioritize work effectively.

Job Type: Full-time

Pay: ₹30,000.00 - ₹60,000.00 per month
