Job Purpose:

The Executive Assistant / Personal Secretary will provide high-level administrative support to the CEO / MD/ Directors, ensuring smooth operation of daily activities and effective communication. This role involves calendar management, meeting coordination, travel arrangements, document preparation while maintaining strict confidentiality and professionalism.


Key Responsibilities (KRAs):


1.Calendar & Communication Management


Efficiently manage and maintain the executive’s calendar, including scheduling meetings, appointments, and travel.

Proactively anticipate and address scheduling conflicts.

Handle and prioritize all incoming and outgoing correspondence (emails, letters, phone calls).

Draft and review responses as needed, ensuring timely and professional communication.

Meeting & Documentation Support

Organize and coordinate meetings including agendas, minutes, logistics, and follow-ups.

Prepare, edit, and format documents, reports, and presentations with accuracy and a high degree of professionalism.


3.Stakeholder Management

Act as the primary point of contact between the executive and internal/external stakeholders.

Maintain clear, effective, and confidential communication at all levels.


4.Strategic & Operational Support

Assist in the preparation of strategic plans by conducting research and compiling data.

Support executive operations, addressing issues promptly and efficiently.


5.Travel & Expense Management

Arrange detailed travel itineraries, accommodations, and transport logistics.

Track and manage expenses, ensuring timely and accurate report submission and reimbursements.



Skills and Qualifications:

4 to 8 years of experience as an Executive Assistant or similar role.

Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

Excellent verbal and written communication skills.

Strong organizational and multitasking abilities.

High level of discretion and integrity.
