Role Summary
The executive Assistant (EA) provides high-level administrative support to senior executives, enabling them to focus on strategic priorities by handling day-to-day operational task. This role involves managing calendars, scheduling meetings, coordinating travel, preparing reports and presentations, handling confidential information and acting as a liaison between the executive and internal/external stakeholders. The ideal candidate is proactive, highly organized, detailed -oriented and possess strong communication and problem-solving skills.
Core Duties/Responsibilities
- Daily diary management
- Arranging meetings and conference calls, draft and circulate agendas if appropriate, welcome visitors etc.
- Coordination of Executive Committee meetings including venue, IT requirements, attendee management, presentation coordination, agendas, pack preparation and distribution
- Taking, producing and circulating meeting minutes
- Arranging travel and accommodation and processing expenses
- Producing and processing purchase orders
- Assisting with new employee starter administration
- Answering the telephone, screening calls and taking accurate messages
- Co-ordinating exam/ course bookings
- Working as part of a broader team of assistants who support the Executive Management in Equiniti
- General office management tasks when required
Skills, Capabilities and Attributes
- Previous experience in a PA role, preferably Board level
- In-depth experience in collating Board papers, PDF writer and/or a Board admin platform
- Exceptional time management/organisational skills with the ability to multitask
- Polished written and verbal communication skills
- The ability to identify needs and go one step ahead
- Able to contribute as part of a team, as well as autonomously as required
- A level of confidence that will enable you to communicate with senior stakeholders
- An approachable and professional nature
- Service minded, with a focus on ensuring the highest level of support is offered to your designated stakeholders
- Strong problem-solving ability, and be able to identify potential issues and propose solutions
- Strong working knowledge of MS Outlook, Word and Excel
- A can do attitude
- Approachable, friendly and warm character
