Job Description

As an Executive Assistant at our company, your role will involve performing general administrative duties to support day-to-day department operations. This includes tasks such as telephone coverage, scheduling meetings, making travel arrangements, reporting expenses, managing calendars, taking meeting minutes, copying documents, screening mail, ordering supplies, and maintaining department records. Key Responsibilities: - Support day-to-day department operations by handling phone coverage, scheduling meetings, arranging travel, reporting expenses, managing calendars, taking meeting minutes, making copies, screening mail, filing, ordering supplies, and maintaining records. - Prepare various documents such as correspondence, memos, reports, presentations, or other assigned material using specified software. - Assist in preparing and managing the departmental budget. - Administer programs, projects, or processes specific to the department and maintain spreadsheets or databases to monitor departmental information. - Research special topics as assigned. - Serve as an administrative liaison with internal and external stakeholders. - Develop and produce reports as required. - Monitor and coordinate the work of other employees or temporary staff. Qualifications Required: - Proficiency in MS tools such as PowerPoint, Outlook, Excel, Word, Teams, and Zoom. - Excellent communication skills to effectively engage with a globally diverse team and relay messages accurately. - Experience in travel and expense management. - Background in corporate administrative roles involving interactions with senior executives and customers. - Strong understanding of department budgets and desktop computer software. - Experience in organizing team events and all-hands meetings for large groups. As part of your responsibilities, you will be required to abide by the company's security policies and practices, maintain the confidentiality and integrity of information accessed, report any suspected security violations or breaches, and complete all mandatory security trainings as per company guidelines.,
