Job Description

  • Manage calendars, appointments, and daily schedules for senior leadership.
  • Organize and coordinate internal/external meetings, prepare agendas, and capture minutes.
  • Handle executive communication, emails, and correspondence with confidentiality.
  • Compile reports, presentations, and documents for business meetings.

Operational & Administrative Coordination

  • Manage office documentation, filing systems, and database updates.
  • Assist in vendor management, procurement, and basic office administration.
  • Track and follow up on tasks, deadlines, and action items for leadership.
  • Support daily operational activities to ensure smooth business functioning.

Communication & Stakeholder Management

  • Serve as a point of contact for internal teams, clients, and external partners on behalf of leadership.
  • Facilitate smooth communication flow and ensure timely responses.
  • Draft professional letters, emails, and business documents.

Project Assistance

  • Assist in monitoring ongoing projects, initiatives, timelines, and deliverables.
  • Prepare business review materials, summaries, and follow-up notes.
  • Conduct basic research and data gathering for leadership when required.

Travel, Logistics & Event Support

  • Arrange travel, transportation, and accommodation for leadership.
  • Coordinate logistics for meetings, conferences, and internal events.
  • Manage expense tracking, reimbursements, and travel-related documentation.

Required Skills & Qualifications

  • Bachelor's degree in any discipline.
  • 2.5 years of experience as an Executive Assistant or in a similar administrative role.
  • Excellent written and verbal communication skills.
  • Strong organizational, time-management, and multitasking abilities.
  • Proficiency in MS Office Suite (Excel, Word, PowerPoint) and scheduling tools.
  • Ability to maintain confidentiality and handle sensitive information.
  • Professional demeanor and strong attention to detail.

Preferred Skills

  • Experience supporting senior leadership or founders.
  • Ability to work independently with minimal supervision.
  • Strong follow-up skills and a proactive mindset.
