The Opportunity

We are seeking an organized and detail-oriented professional to manage end-to-end travel arrangements and administrative support for NIRU executives. You will be the backbone of our operations — ensuring smooth coordination of travel logistics, meticulous record management, and executive-level administrative support. This is an on-site role requiring strong communication skills, discretion, and efficiency in a fast-paced, global environment. 

 

What You Will Do

Travel & Flight Coordination

  • Manage domestic and international flight bookings across multiple destinations and time zones. 
  • Coordinate visa, insurance, hotel, airport transfers, and other bookings for senior management and visiting guests. 
  • Monitor fare trends and identify cost-efficient options without compromising comfort or convenience.  
  • Prepare detailed travel itineraries, including route mapping, flight comparisons, and booking summaries. 
  • Maintain trackers for upcoming trips, PNRs, cancellations, and expense reconciliations. 

 

Administrative Support

  • Oversee day-to-day administrative operations including vendor coordination, office upkeep and other. 
  • Maintain organized filing systems (digital and physical) for documents, invoices, and travel-related receipts. 
  • Liaise with HR and finance teams for reimbursement, advances, and compliance wherever applicable. 
  • Provide logistical support for meetings, internal events, and inter-office coordination. 
  • Manage confidential information with integrity and discretion. 

 

Key Skills

  • Proficiency in MS Office Suite (Excel, Outlook, Word) and familiarity with flight booking portals. 
  • Ability to optimize workflow through AI tools and automation, enhancing efficiency across travel planning, administrative tasks, and document management. 
  • Strong attention to detail with excellent time management and multitasking ability. 
  • High level of communication clarity, professionalism, and client-facing demeanor. 
  • Proactive problem-solver who can handle last-minute changes calmly. 
  • Knowledge of visa documentation, travel policies, and budgeting.
