Job Description

Position Overview: The Executive – Distribution (SAP) is responsible for overseeing and managing the end-to-end distribution processes within the SAP environment. This includes monitoring stock levels, managing stock transport orders (STOs) and stock transfer notifications (STNs), handling stock adjustments, ensuring compliance with regulatory requirements, and coordinating with various stakeholders to ensure timely dispatches and deliveries. Looking for candidates with the experience in Distribution/ Inventory control of Generic Business in Pharmaceutical industry. Key Responsibilities: 1. Stock Monitoring & Management: Breakage & Expiry Tracking: Utilize SAP's batch management features to monitor stock nearing expiry. Expired batches can be flagged as "Restricted," while near-expiry stock can be moved to "Blocked" status for controlled handling. STO & STN Generation: Ensure timely creation and processing of Stock Transport Orders (STOs) and Stock Transfer Notifications (STNs) to facilitate smooth inter-plant stock movements. Monitor these transactions to prevent delays and discrepancies. 2. Order Processing & Approvals: Order Approvals: Implement workflow approvals within SAP to streamline order processing and ensure compliance with internal controls. Stockiest Unstocking: Follow standard procedures for unstocking materials from stockiest, ensuring proper documentation and updates in the system. 3. Stock Adjustment Entries: Excess & Shortage Management: Utilize SAP's Inventory Balancing functionality to define parameters for managing excess and shortage situations. This includes setting upper and lower limits for stock levels. Adjustment Entries: Post adjustments using appropriate movement types (e.g., 701 for excess, 702 for shortages) to reflect accurate stock levels in the system. 4. Stakeholder Coordination: CFA & Super Stockiest Follow-up: Regularly monitor and follow up on outstanding balances with CFA and super stockiest to ensure timely payments and resolve discrepancies. Credit Adjustments: Process credit adjustments promptly, ensuring accurate updates in SAP to maintain financial integrity. Transporter Coordination: Collaborate closely with transporters and CFA to schedule and monitor dispatches, ensuring timely deliveries. Delivery Tracking: Utilize SAP's logistics functionalities to track deliveries and address any delays or issues promptly. 5. Regulatory Compliance: License Management: Maintain up-to-date records of stockiest drug and food licenses within SAP, ensuring compliance with regulatory requirements. Documentation: Regularly verify and update license information to prevent disruptions in supply chain operations. 6. Inbound Logistics & Documentation: LR & Delivery Entries: Ensure that all Delivery Receipts (LR) and delivery entries are accurately recorded in SAP to maintain inventory accuracy. Inbound Effect Monitoring: Monitor the inbound logistics process to identify and resolve any discrepancies or delays in stock receipt. Skills & Qualifications: Educational Qualification: Bachelor’s degree in Supply Chain Management, Logistics, Business Administration, or related field. Experience: Minimum 2-3 years of experience in distribution or logistics roles, preferably within an SAP environment. Technical Skills: Proficiency in SAP ECC or S/4HANA, with hands-on experience in Inventory Management (IM), Materials Management (MM), and Sales and Distribution (SD) modules. Knowledge: Good understanding of stock management, order processing, stock adjustments, and regulatory compliance. Communication: Strong verbal and written communication skills to coordinate effectively with internal teams and external stakeholders. Desirable Attributes: Problem-Solving: Ability to analyse issues and implement effective solutions in a timely manner. Attention to Detail: Meticulous in managing data entries and documentation to ensure accuracy. Team Player: Collaborative mindset with the ability to work effectively in cross-functional teams.
