Job Summary

This position is responsible for reviewing, processing and managing disbursement requests for reserve account tied to construction loans. This role involves ensuring compliance with loan agreements, investor requirements and financial regulations while working closely with borrowers, asset managers and other stakeholders.

Responsibilities

  • To process various loan servicing activities/inquiries/requests adhering to laid down procedures and ensuring that the established service standards are met
  • Draw Request Lifecycle Management: Proven ability to manage the end-to-end process for construction draw requests, including receipt, initial review, documentation verification, and coordination with borrowers, lenders, and consultants to ensure timely and compliant funding.
  • Document Review & Compliance: Skilled in reviewing draw packages for completeness and accuracy, ensuring all required documentation (draw request forms, invoices, proof of payment, conditional and unconditional lien waivers) meets contractual and regulatory standards.
  • Tracker & Workflow Administration: Experience in setting up and maintaining draw trackers, invoice logs, and open items lists to monitor draw status, budget revisions, and outstanding documentation. Proficiency with digital workflow tools and shared drives for document management.
  • Budget & Contract Reconciliation: Ability to reconcile draw requests against project budgets and contract documents (including AIA forms G702/G703), review and document change orders and ensure all funding aligns with approved project scope.
  • Invoice & Payment Verification: Expertise in reviewing invoice backup for relevance, timeliness, and accuracy; confirming invoice totals match requested amounts; and ensuring proper documentation for stored materials (bills of sale, insurance certificates, photos).
  • Lien Waiver Administration: Knowledge of state-specific lien waiver requirements, including collection and verification of signed and notarized waivers from general contractors and subcontractors for each draw cycle.
  • Exception & Issue Resolution: Strong analytical skills to identify and document exceptions, discrepancies, or missing items in draw packages, and communicate effectively with stakeholders to resolve issues within established timelines.
  • Consultant & Title Coordination: Experience working with construction consultants to review monitoring reports and with title companies to secure endorsements prior to funding.
  • Stakeholder Communication: Excellent written and verbal communication skills for preparing questions, recommendations, and status updates to asset managers, financial analysts, borrowers, and lenders throughout the draw review process
  • Understanding of loan agreements, escrow reserves and commercial real estate operations
  • Adherence to the SLA’s – productivity, turn-around time and accuracy
  • Identify potential risk in disbursement and escalate issues as needed
  • Collaborate and consult with peers, colleagues and managers to resolve issues and achieve goals
  • Communicate with borrowers, asset managers and servicing team to facilitate efficient processing of reserve disbursement request
  • Contribute to process enhancement to improve efficiency and accuracy in reserve disbursement operations
  • Research, respond and resolve complex enquiries and complaints
  • Support less experienced loan specialists in providing resolutions for inquiries and complaints
  • Serve as subject matter expert and main point of contact for internal teams
  • Provide training and guidance on Reserve Disbursement policies and best practices
  • Train others in complex loan inquiries and servicing language in loan documentation and interpretation.
  • Mentor and support junior team members
  • Develop best practices, training material and SOPs to enhance team performance
  • Assist in developing and implementing new technologies/systems for reserves disbursement tracking

Required Qualifications

  • University Masters/bachelor’s degree in business or related discipline.
  • 10+ Years of Loan Servicing experience, or equivalent demonstrated through one or a combination of the following: work experience, training and education.
  • Reserve Disbursement experience.
  • Knowledge of all Mortgage and consumer lending, practices and regulations.
  • Sound knowledge of Microsoft Office (Word, Excel and Outlook) skills.
  • Ability to interact with all levels of an organization.
  • Strong verbal and written communication skills are crucial for engaging with candidates and hiring managers.
  • Demonstrated capacity to achieve results in a fast-paced, high-volume, and dynamic setting.
  • Organizational and administrative skills that reflect attention to detail and the ability to prioritize amidst competing demands.
  • Strong work ethic and a sense of urgency.
  • Skilled in managing sensitive information while upholding privacy.
  • Handling workload and special projects efficiently.
  • Ability to work both independently and within a team environment.
