About

Innovatiview India Ltd. is looking for a proactive and experienced Assistant Manager Admin to oversee day-to-day administrative operations, vendor coordination, facility management, and office support functions. The ideal candidate should have strong experience in handling vendors, negotiations, procurement, asset management, and ensuring smooth workplace functioning.

Key Responsibilities

1.

  • Oversee day-to-day office operations and ensure a smooth administrative workflow.
  • Manage office supplies, stationery, housekeeping, and overall workplace efficiency.
  • Coordinate travel arrangements, hotel bookings, and logistics for employees and guests.
  • Ensure timely upkeep of office infrastructure, utilities, and essential services.

2. Vendor & Procurement Management

  • Handle end-to-end vendor management including sourcing, onboarding, evaluation, and performance monitoring.
  • Negotiate pricing, contracts, SLAs, and ensure cost-effective procurement.
  • Maintain vendor databases, rate contracts, and service agreements.
  • Ensure timely delivery of goods/services and resolve vendor-related issues.

3. Facility Management

  • Supervise facility-related operations including housekeeping, security, pantry, and maintenance.
  • Coordinate with facility providers for repairs, AMC, and preventive maintenance.
  • Monitor workplace safety, cleanliness, hygiene standards, and compliance with company guidelines.
  • Manage seating arrangements, access control systems, and building administration.

4. Asset & Inventory Management

  • Maintain accurate records of company assets, furniture, equipment, and consumables.
  • Coordinate with IT/Operations teams for asset allocation and audits.
  • Ensure timely replenishment of inventory and adherence to asset management policies.

5. Documentation & Compliance

  • Manage administrative documentation such as agreements, purchase orders, bills, and service contracts.
  • Ensure compliance with company policies and statutory guidelines for admin and facility operations.
  • Prepare MIS reports related to expenses, vendors, and facility status.

6. Employee Support & Coordination

  • Address employee admin requests, workplace issues, and create a seamless office experience.
  • Support HR and Leadership teams during events, meetings, and organizational activities.
  • Coordinate with internal teams for smooth functioning of administrative processes.

Required

  • Minimum 5+ years of experience in Administration, Facility Management, Vendor Management, and Office Operations.
  • Strong negotiation skills with proven vendor management experience.
  • Good understanding of facility-related operations (security, housekeeping, AMC, maintenance, etc.).
  • Excellent communication skills and ability to multitask.
  • Proficient in MS Office and administrative documentation, Strong ownership, problem-solving, and people-handling skills
