Job Description

Responsibilities

  • Key Responsibilities of Role

Roles And Responsibilities

Documentation Management:

  • Prepare, verify, and maintain all export/import documentation including invoices, packing lists, shipping instructions, and certificates of origin.
  • Ensure accurate and timely filing of licenses such as EPCG, Advance Authorization, and other DGFT-related documents.

Licensing Compliance

  • Apply for and track import/export licenses and ensure compliance with DGFT, Customs, and other regulatory bodies.
  • Maintain a repository of all active and expired licenses and ensure timely renewals or closures.

Coordination & Communication

  • Liaise with freight forwarders, customs brokers, and internal stakeholders to ensure smooth shipment processing.
  • Coordinate with finance and procurement teams for documentation related to LC (Letter of Credit), bank guarantees, and duty payments.

Audit & Reporting

  • Maintain audit-ready documentation and support internal/external audits.
  • Generate periodic reports on license utilization, shipment status, and compliance metrics.

Process Improvement

  • Identify gaps in documentation processes and suggest improvements for efficiency and compliance.

Qualifications

Qualifications and Experience

Education

Graduate in Commerce, Business Administration, or a related field. A diploma or certification in Export-Import Management is preferred.

Experience

Minimum 12 Yrs of experience in export/import documentation, with hands-on experience in handling licenses and DGFT procedures.

Skills

  • Strong knowledge of Indian EXIM policy, customs regulations, and licensing procedures.
  • Proficiency in MS Office and ERP systems (SAP preferred).
  • Excellent organizational and communication skills.
  • Attention to detail and ability to work under tight deadlines.
