Job Description

Key Responsibilities: 1. Operational Oversight:  Assist in managing daily operations across all facility services including housekeeping, maintenance, security, and other support functions.  Ensure timely scheduling and completion of maintenance and repair activities.  Monitor service requests and ensure prompt, efficient resolutions. 2. Team Leadership:  Supervise on-ground facility management personnel such as maintenance staff, custodians, and security teams.  Support employee onboarding, orientation, and continuous training programs.  Conduct performance reviews and provide constructive feedback for professional development. 3. Vendor and Contractor Management:  Coordinate with external vendors and contractors for scheduled and emergency services.  Ensure all vendors comply with contractual obligations, service-level agreements, and company standards.  Track vendor performance and escalate issues as necessary. 4. Safety and Regulatory Compliance:  Enforce adherence to health, safety, and environmental standards and regulations.  Assist in the implementation and periodic review of safety protocols.  Report incidents, hazards, or non-compliance to the Operations Manager, and participate in corrective action planning. 5. Quality Assurance:  Conduct routine inspections to maintain high standards of cleanliness, safety, and maintenance across all facilities.  Identify gaps or service deficiencies and initiate corrective measures.  Analyse operational data to improve service delivery and efficiency. 6. Financial and Budgetary Support:  Assist in the formulation and management of the facility operations budget.  Monitor expenses and identify areas for cost savings without compromising service quality.  Support in preparing budget reports and operational forecasts. 7. Client Relationship Management:  Act as a key point of contact for client interactions related to facility operations.  Address and resolve client queries or concerns promptly and professionally.  Foster long-term client relationships through consistent service excellence. 8. Reporting and Documentation:  Maintain accurate and comprehensive records of operational activities including maintenance schedules, inspections, and incident logs.  Prepare periodic reports highlighting operational performance, compliance status, and key metrics.  Ensure all documentation is systematically archived and readily accessible. Qualifications: 1. Education: Bachelor’s degree in Facility Management, Business Administration, Engineering, or a related discipline (preferred). 2. Experience: Minimum of 5 years of relevant experience in facility management or a related field, with at least 1–2 years in a supervisory or team lead capacity. 3. Technical Skills :  Proficient in facility management systems and software.  Sound knowledge of operational processes, safety standards, and vendor management.  Strong budgeting and cost management capabilities Key Competencies: 1. Adaptability: Flexibility to manage dynamic operational environments and shifting priorities. Working Conditions:  May require periodic travel to multiple site locations.  Should be available to respond to emergencies outside of regular business hours.  Will involve working in both office and on-site facility environments under varying conditions.
