The Administrative Assistant at Elessent Clean Technologies provides a range of administrative support to ensure the efficient operation of the office. They support management and/or staff in a business or functional unit, handling tasks related to calendaring, document preparation, correspondence, travel arrangements, and meeting/travel coordination. This role requires knowledge of Elessent's business practices, policies, programs, and product line. The Administrative Assistant resolves routine and non-routine inquiries while maintaining confidentiality.

  • Maintain all necessary Compliance and liaison with authorities related to Shop & Establishment
  • Prepare and maintain MOM of Board meetings & regular meetings, and other documentations.
  • Support Management in employee engagement activities.
  • Support sales team on proposals and post-PO requirements.
  • Prepare Store Receipts and Delivery Challans.
  • Provide HR Support based on the requirement (Leave records, employee Life cycle Management.
  • Employee Benefits Management (Insurance & Meal Coupons, Etc.)
  • Petty cash maintenance.
  • Other sites: Management and maintenance.
  • Answer phone calls, schedule meetings, and support visitors.
  • Carry out administrative duties such as filing, typing, copying, binding, scanning, etc.
  • Complete operational requirements by scheduling and assigning administrative projects and expediting work results.
  • Make travel arrangements for senior staff, including booking flights, cars, hotels, or restaurant reservations.
  • Exhibit polite and professional communication via phone, email, and mail.
  • Support the team by performing tasks related to organization and strong communication.
  • Develop administrative staff by providing information, educational opportunities, and experiential growth opportunities.
  • Ensure the operation of equipment by completing preventive maintenance requirements, calling for repairs, maintaining equipment inventories, and evaluating new equipment and techniques.
  • Provide information by answering questions and requests.
  • Maintain supplies inventory by checking stock, anticipating needed supplies, and placing and expediting orders for supplies.
  • Contribute to the team effort by accomplishing related results as needed.
  • Assist in the warehouse stockroom.
  • Monitor raw material inventory levels, place orders, and schedule deliveries.
  • Generate purchase suggestions for spare parts.
  • Monitor supplies/PPE (Personal Protective Equipment).
  • Submit purchase requisitions to replenish supplies, raw materials, PPE, and various plant requests.
  • Physically & electronically receive packages/materials.
  • Conduct monthly inventory counts of raw materials and annual full physical counts.
  • Issue parts and PPE to Maintenance and Operations.
  • Create inventory labels and label incoming parts.
  • Work with accounts payable on invoice discrepancies.
  • Maintain general housekeeping.
