Job Summary
The Head – Administration will be responsible for overseeing all administrative operations of Avaada Electro across manufacturing plants, offices, and associated facilities. The role covers guest house management, travel and logistics, transport services, cafeteria/canteen management, facility operations, event management, and new office setups. The position demands a dynamic leader with the ability to deliver smooth, cost-effective, and employee-friendly services while supporting organizational growth and expansion.
Key Responsibilities
Guest Houses & Accommodation
  • Manage company guest houses across locations, ensuring comfort, cleanliness, and hospitality.
  • Oversee upkeep of staff colonies, hostels, and corporate accommodations.
  • Ensure high service standards for employees, visitors, and senior management.
Travel, Transport & Logistics
  • Supervise end-to-end travel arrangements for employees, visitors, and executives (domestic and international).
  • Manage contracts with cab operators, travel agencies, airlines, and hotels.
  • Streamline booking, approval, and reimbursement processes for employee travel.
  • Ensure safe and reliable transport services for daily employee commute and site visits.
Event & Engagement Management
  • Plan and execute corporate events, plant-level functions, leadership meetings, and employee engagement activities.
  • Coordinate logistics, venue arrangements, vendor support, and hospitality for all internal and external events.
Facility & Infrastructure Management
  • Oversee day-to-day operations of offices, factories, and warehouses to ensure smooth functioning.
  • Manage cafeteria/canteen services, workplace ergonomics, and amenities for employees.
  • Drive improvements in facility management through sustainability initiatives and cost optimization.
  • Ensure availability of utilities (power, water, sanitation, internet, etc.) across all units.
New Office Development
  • Scout, evaluate, and finalize new office spaces based on business expansion needs.
  • Lead the design, setup, and operational readiness of new offices, including furniture, interiors, and workplace technology.
  • Ensure adherence to timelines, budgets, and quality standards during office build-ups and relocations.
Vendor & Contract Management
  • Manage vendors for housekeeping, catering, transport, and travel services.
  • Negotiate contracts and monitor SLAs for quality and cost efficiency.
  • Establish transparent procurement and payment processes for administrative needs.
Budgeting & Cost Control
  • Prepare and monitor the annual administration budget.
  • Track expenses and implement cost-saving initiatives across travel, events, and facilities.
  • Leverage technology and automation to optimize administrative processes.
Qualifications & Experience
  • Bachelor’s/Master’s degree in Business Administration, Facility/Operations Management, or related field.
  • 18–22 years of experience in administration within manufacturing, renewable energy, or infrastructure industries.
  • Proven expertise in facility management, travel & logistics, event management, and office setups.
  • Strong vendor management, cost optimization, and stakeholder coordination skills.
  • Experience in implementing digital solutions for travel, facility, and workplace management.
