Job Description

US Payroll Specialist

Key Responsibilities

  • End-to-End Payroll Processing:

    Manage the complete payroll cycle for US employees, including on-cycle, off-cycle, and supplemental payrolls for weekly, bi-weekly, and semi-monthly pay groups.
  • Tax & Compliance Management:

    Ensure 100% compliance with federal, state, and local payroll laws. Handle payroll tax setups, garnishments, wage attachments, and year-end reporting (W-2, 941s).
  • HCM System Expertise:

    Utilize HCM systems such as

    Workday, SAP, Oracle HCM, ADP, or UKG (Ultimate Kronos Group)

    to process payroll, maintain data, and run critical audits.
  • Audit & Reconciliation:

    Perform rigorous pre- and post-payroll audits, reconcile payroll registers, and resolve discrepancies to ensure flawless payroll execution.
  • Stakeholder Support:

    Act as the primary point of contact for employee and HR partner inquiries regarding payroll, taxes, and deductions, using a ticketing system like

    ServiceNow

    .
  • Process Improvement:

    Support and contribute to payroll projects, including system implementations, process automation, and transition activities, to enhance efficiency and accuracy.
  • Data Integrity:

    Maintain the highest level of confidentiality and accuracy in all payroll operations and employee records.

Required Qualifications & Skills

  • Must Have:

    • 2 - 8 years of hands-on experience in

      end-to-end US multi-state payroll processing

      .
    • In-depth knowledge of

      US payroll tax regulations

      and compliance requirements (Federal, State, SUTA, FICA).
    • Demonstrated proficiency with at least one major

      HCM platform

      (e.g.,

      Workday, SAP, ADP, Oracle HCM, UKG

      ).
    • Strong analytical and problem-solving skills with meticulous attention to detail.
    • Excellent communication skills and the ability to handle stakeholder queries professionally.
  • Good to Have:

    • Experience with

      ServiceNow

      or similar case management tools.
    • Exposure to payroll implementations or transition projects.
    • Familiarity with Time & Attendance systems.
