Job Description

· Payroll Processing (US Payroll):

  • Process end-to-end US payroll on a bi-weekly/monthly basis ensuring accuracy and timeliness.
  • Validate employee records, timesheets, overtime, incentives, reimbursements, and deductions.
  • Ensure compliance with federal, state, and local wage and hour laws (FLSA, state tax rules, garnishments, unemployment, etc.).
  • Administer and reconcile pre-tax and post-tax deductions (benefits, 401k, FSA, insurance, etc.).
  • Prepare payroll reports and ensure compliance with IRS regulations and year-end filings (W-2, 1099, 941, 940, etc.).

· Statutory Compliance:

  • File monthly, quarterly, and annual payroll taxes accurately.
  • Coordinate with auditors and ensure compliance with labor laws, ACA, HIPAA, and SOC regulations.
  • Maintain employee data confidentiality in line with statutory data protection norms.

· TASC Card (The Administration Source for Compliances – or equivalent):

  • Manage and administer employee TASC cards for statutory registrations, compliance documentation, and benefits access.
  • Ensure proper activation, usage, renewal, and reporting of TASC cards.
  • Coordinate with the vendor/authority for issue resolution, lost cards, or compliance audits.
  • Maintain accurate records of TASC card issuance and ensure alignment with payroll and compliance needs.

· General Payroll Support:

  • Support in onboarding/offboarding with payroll & statutory documentation.
  • Handle employee queries related to salary, deductions, benefits, and compliance.
  • Liaise with finance, auditors, and government agencies as needed.
  • Bachelor’s degree in Accounting / Finance / HR / Business Administration.
  • 3–5 years of hands-on experience in US payroll & compliance.
  • Strong knowledge of US federal & state payroll laws, tax filings, and statutory norms.
  • Experience in payroll software (ADP, Paychex, Oracle, Workday, or similar).
  • Familiarity with TASC card process and vendor management.
  • Excellent analytical, problem-solving, and communication skills.
  • High attention to detail and confidentiality.
  • Certified Payroll Professional (CPP) or Fundamental Payroll Certification (FPC).
  • Knowledge of SOX compliance and multi-state payroll processing.

· 401(k) Enrollment & Administration:

  • Manage employee 401(k) plan enrollment, changes, and contribution processing.
  • Ensure compliance with ERISA, IRS, and DOL regulations.
  • Coordinate with plan providers for enrollments, withdrawals, loans, and distributions.
  • Provide employees with information regarding investment options, contribution limits, and company match policies.
  • Reconcile 401(k) deductions with payroll and resolve discrepancies.
  • Assist in annual nondiscrimination testing and compliance reporting.
